Office Manager / Junior Office Manager
by title, this is much more than an office support role - it's about taking ownership for flow of our workspace, supporting team colleagues & day to day agency operations. You'll be the vital force keeping things running smoothly, ensuring every detail is handled - from opening the doors in the morning, to managing meetings, coordinating team logistics, helping with research & new business deck design, feeding into our HubSpot data to making sure we've always got great coffee & a welcoming atmosphere for our valued client guests.
To be successful in this role, you must enjoy getting stuck in. You'll also be a team player & be able to prioritise tasks along with possessing great written communication & interpersonal skills.
Role in more detail: What You'll Own:
Our Workspace Environment
Keep our space sparkling - from opening up to tidy environment to keeping a stocked kitchen
Organise weekly team breakfast, lunch & other catering requirements
Be our go-to for supplies, recycling, waste, fridge patrol & liaising with cleaners
Oversee meeting rooms: prep, refreshments, welcoming guests & clean-up
Reception & Hospitality Duties
Be the friendly voice on the phone & a welcoming face at the door
Host client meetings with care & quality - think great coffee, thoughtful setup, no detail missed
HR Coordination & Culture Support
Track & manage team holidays, sick days, WFH days
Coordinate onboarding, health & safety briefings & keep HR docs updated
Support with policy rollouts & answering team Qs
Plan team socials, birthdays & milestones
Finance Admin (Alongside Our Finance Manager)
Help process expenses, reconcile cards & track team purchases
Manage breakfast/lunch budgets & oversee supply spending
Keep tabs on insurance renewals & paperwork
Team Support
Book team travel & hotels, support supplier relationships
Provide basic PA support to the Directors - travel, expenses, paperwork
Help with presentation / slides - experience of using PowerPoint would be welcome
CRM & Data Management: HubSpot Hero
Keep our client data clean, accurate & up to date
Manage imports/exports, segment lists &ensure accountability
Be the HubSpot go-to - develop your understanding of the platform
Tech & IT Coordination
Help with everyday IT queries & office kit logistics
Log issues with our IT partner, manage equipment & software
Own meeting room AV (Poly) & train team as needed

Please note, this is an office-based role. The office is active 5 days a week with team onsite, client meetings & other guests
