Shifts: 37.5 hours per week, Monday to Friday 8.00am until 4.00pm operational hours, with 30 minutes unpaid lunch break

Purpose of role
The primary focus of the Office Manager role will be to oversee the team and the day to day services Williams Lea provide to our client offices. The Office Manager will be responsible for the smooth and efficient running of the service, managing a diverse range of services such as Office Services, Reception, Reprographics, Scanning, Archiving and Deeds. The role is highly client focused, dealing with both internal and external clients.
Key responsibilitiesEnsure that the agreed client service level agreements are consistently met and exceeded where possible.
Be responsible for the day to day running of the team.
Ensure the team work as one and encourage a positive and pro-active working environment.
Ensure that the workload and team is staffed correctly (Absence, holiday, lunch)
Anticipate and resolve issues where possible.
Implement changes for improvement.
Liaise with fee earners / secretaries over any issues and reach resolution
Dealing with Health and Safety issues.
Ensure that Knowledgebank is used and reviewed regularly
Build an effective relationship with the Client
Ensure that any issues raised are dealt with and reported in a timely manner
Ensure adequate cover between the office hours.
Provide monthly MI to the Account Manager based on information compiled daily by the team.
Ensure that an acceptable level of service is experienced by our client
Closely monitor staff performance and deal promptly with any performance related issues.
Conduct 1:1's, performance reviews and coaching sessions.
Monitor staff attendance and timekeeping and respond to issues.
Ensure policies and procedures are met in every instance.
Actively delegate and manage work to ensure best practice is maintained in all areas.
Pro-actively deal with any issues including escalating to Account Manager, providing a summary of the issue and suggested action plan for resolution.
Effectively follow up on client related concerns.
