NewGen operates from 3 principal locations. 2 of these are in the UK, being Manchester and London with our final principal location in New York.

About the Role:



We're looking for an energetic, organised, and proactive Office Manager to lead the day to day operations of our London office. You will play a key role in shaping the experience of both our employees and visitors, taking ownership of everything from onboarding logistics and culture building initiatives to facilities management and on site coordination.

As the go to person for all things London office related, this is a great opportunity to work across people, culture, office management and operations, all in one dynamic role.

Key Responsibilities:



Office Operations & Facilities



Oversee all aspects of the London office environment to ensure a professional, welcoming, and well run workspace. Manage weekly office food and supply orders, including stock takes and inventory management for our London and Manchester offices. Ensure weekly office supplies and food deliveries are unpacked, organised, and stored appropriately, maintaining a clean and presentable office environment. Ensure meeting rooms are prepared and equipped for internal and client meetings. Act as the point of contact for facilities, suppliers, and service providers. To support the planning, execution, and coordination of office moves, including researching the market for potential office spaces, managing vendor relationships, and ensuring a smooth transition for all employees, where applicable and required. To manage and maintain clear, organised, and easily accessible documentation within our internal project management software, that supports office operations, enhances onboarding, and improves the employee experience, covering practical guides, local amenities, and key supporting materials. Liaise with the external IT team to support hardware/software needs, alongside troubleshooting minor tech issues for the London office. Take on the role as our London Office Fire Warden.

Onboarding & People Experience



Coordinate the onboarding/offboarding experience for new starters/leavers, including (but not limited to), hardware setup, desk set up, IT equipment, equipment returns and office access to ensure a seamless integration into the company, promoting engagement from day one. Management of the internal travel platform efficiently for all employees from an onboarding/offboarding perspective, ensuring correct access levels, cost controls, and alignment with the company's Travel Policy, alongside any other relevant platforms. Be the first point of contact to welcome new joiners and ensure a seamless first day experience. Partner with the People/HR team to align on global onboarding processes and enhance the local experience.

Culture & Events



Lead the execution of culture initiatives in the London and Manchester offices in line with the global culture strategy, that fosters a positive, inclusive and performance driven workplace. Plan and manage a calendar of team building activities, social events, wellness initiatives, and cultural celebrations. Research and book external speakers, facilitators, and venues for on site and off site events. Collaborate with internal teams to champion inclusivity, engagement, and belonging in the workplace. Ownership of internal culture comms to be dropped on the 1st of each month as a summary of what is happening globally across the business. Provide presentation support for company wide presentations, ensuring consistency, clarity, and alignment with brand, tone, and company priorities. Support and coordination alongside the execution of London based company events.

Client & Guest Experience



Host and coordinate client visits, ensuring a professional and welcoming environment. Prepare and book meeting rooms and hospitality as required for client facing engagements.

Highly organised with strong attention to detail. A self starter who thrives in a fast paced, people first environment. Passionate about creating positive workplace experiences and driving team culture. Comfortable juggling multiple priorities and working independently. Confident dealing with stakeholders at all levels.

Requirements:



Prior experience in an office management, operations, or workplace experience role (ideally in a fast paced environment). Strong written and verbal communication skills. Comfortable with tools such as Google Workspace, Slack, Click Up.

Pay: 30,000.00-35,000.00 per year
