This role is central to the daily operations of our Ardwick, Manchester based office. It covers a variety of responsibilities, and you will be the go-to person for services such as facilities, event management, staff on-boarding and procurement of consumables and core services. Every day is different, so you need to be a hands-on, confident communicator, flexible and enjoy fun and variety.
Essentials:
Must have previous experience within a similar Office Management or Personal Assistant role
Some experience and knowledge in Health and Safety
Ideally a qualified Fire Marshal/First Aider or similar
Ability to professionally communicate with colleagues at all levels
Pro-active and confident to find solutions independently
Excellent attention to detail
Excellent IT skills
Good analytical skills
Must have own vehicle
Desirables:
Some HR experience would be highly beneficial when assisting the Directors
Qualifications in Business Management / Administration is an advantage
Main responsibilities:
Office Administration and Operations
Ensuring the smooth and efficient running of the office, including maintaining office supplies and equipment. Answering the main telephone line and directing calls.
Arranging repairs and contractors, security, door access systems, servicing of all office equipment and cleaning services. Regularly inspecting common areas - internal and external - to identify any maintenance issues, and ensure the office is clean, tidy and in good repair.
Creating and maintaining an effective working relationship with existing suppliers and contractors. Responsible for procurement of office supplies and negotiation of contract renewals such as utilities services, mobile phones, internet providers, and business insurers.
Be the go-to person for arranging corporate events, couriers, and if required, business travel and training events.
Working closely with Line Managers to assist with onboarding of new starters. Arranging of inductions, setting up of equipment, experience in HR administration would be very helpful in this role.
Responsible for overseeing Health and Safety procedures, conducting weekly fire safety checks, co-ordinating of first aider, fire marshal and safety training for employees.
Budget & Financial Management
Working closely with the finance team to process payments for office-related services (e.g., contractor services, office supplies, etc.).
Managing the subscriptions spreadsheet, monitor and reconcile credit card spend across all departments.
IT & Technical Support
Liaise with the IT provider to resolve technical issues and maintain software and hardware systems.
Ensure all office technology is set up and functioning correctly. Oversee the purchase and implementation of new office technology as needed.
Client and Visitor Relations
Greet visitors and clients ensuring a warm and professional manner.
Organise and prepare catering for client meetings, presentations, or events held at the office.
