As we continue to grow, we are seeking an experienced and proactive Office Manager to join our team and play a pivotal role in the smooth running of our Middlesbrough office.

Role Overview



We are looking for a highly organised and experienced Office Manager to oversee the day-to-day operations of our Middlesbrough office. This is a key position within our firm, requiring someone who can effectively manage administrative functions, coordinate staff activities, maintain excellent client relations, and ensure the office operates efficiently and professionally at all times.

The successful candidate will be a natural leader with strong organisational skills, excellent attention to detail, and the ability to manage multiple priorities in a fast-paced legal environment. Experience within the legal sector is essential, and experience in conveyancing is particularly desirable as it will enable you to better understand and support our conveyancing team's specific operational needs.

Key Responsibilities



Office Operations & Administration



Oversee all daily office operations to ensure smooth and efficient running of the practice Develop, implement, and maintain office policies, procedures, and systems Manage office supplies, equipment, and inventory, ensuring cost-effective procurement Coordinate office maintenance and liaise with building management and service providers Ensure compliance with health and safety regulations and maintain appropriate records Manage the firm's document management systems and filing protocols

Staff Coordination & Supervision



Supervise and support administrative and support staff, providing guidance and direction Coordinate staff schedules, holiday requests, and absence management Facilitate effective communication between fee earners and support staff Conduct regular team meetings to ensure alignment and address operational issues Assist with recruitment, onboarding, and training of new administrative staff Monitor staff performance and provide constructive feedback

Client Relations & Reception Management



Oversee reception services and ensure clients receive a professional welcome Handle client queries and complaints with professionalism and discretion Ensure excellent standards of client care are maintained throughout the office Coordinate meeting room bookings and client hospitality arrangements Maintain client confidentiality and data protection standards at all times

Conveyancing Support (Desirable)



Provide operational support to the conveyancing department Understand and facilitate conveyancing workflows and deadlines Coordinate with conveyancing staff on administrative and procedural matters Assist with conveyancing-specific compliance and quality control measures

Essential Qualifications & Skills



Experience & Knowledge



Proven experience as an Office Manager, Practice Manager, or similar senior administrative role Previous experience working within a legal practice or professional services environment Strong understanding of law firm operations and legal sector requirements Experience in conveyancing is highly desirable Knowledge of legal compliance requirements and SRA regulations

Exceptional organisational and time management skills Strong leadership abilities with experience supervising and motivating teams Excellent written and verbal communication skills High level of attention to detail and accuracy Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) Experience with case management software and legal practice systems Strong problem-solving skills and ability to work under pressure Excellent interpersonal skills and ability to build relationships at all levels Discretion and ability to handle confidential information appropriately Financial acumen and budget management experience
