Job Summary



We are seeking an experienced and highly organised Office Manager to oversee the day-to-day operations of our insulation business. The ideal candidate will have strong administrative and team-coordination skills, experience pricing insulation works for tenders and privte residential customers and a solid understanding of PAS retrofit standards and compliance requirements. This role is central to ensuring our office runs efficiently and that our projects are delivered to industry and regulatory standards.

Office & Administrative Management



Oversee day-to-day office operations, ensuring smooth workflow and effective communication across departments. Manage office systems, documentation, digital filing, and job tracking software (e.g., CRM, project management systems). Coordinate staff schedules, training records, and compliance documentation. Handle customer enquiries, appointment bookings, and installation scheduling.

Project Coordination



Support surveyors, installers, and retrofit teams with job packs, documentation, and project timelines. Maintain accurate project files in line with PAS 2030 / PAS 2035 requirements. Liaise with Retrofit Assessors, Coordinators, and Designers to ensure project compliance and document readiness. Assist with funding scheme requirements, including GBIS, and local authority schemes.

Tendering & Pricing



Prepare pricing for loft and cavity wall insulation tenders, ensuring competitive and accurate quotations. Analyse specifications, drawings, and technical requirements to develop pricing schedules. Work with management to prepare bid submissions and respond to tender queries. Maintain pricing templates, cost databases, and supplier/subcontractor rates.

Compliance & Quality Assurance



Ensure documentation meets PAS retrofit standards, Quality Assurance (QA) checks, and funding scheme audit requirements. Support the preparation of internal audits and external certification assessments (e.g., TrustMark, ). Track installer qualifications, training requirements, and certification renewals.

Finance & Reporting



Assist with invoicing, purchase orders, and budget tracking for projects. Monitor job costs and profitability through internal systems. Prepare office performance reports for senior management.

Team Leadership



Supervise administrative staff and ensure high service standards are maintained. Provide training, mentoring, and performance feedback. Promote a positive and efficient work culture.

Required Skills & Experience



Proven experience as an Office Manager or senior administrator in the construction or energy efficiency sector. Strong understanding of loft and cavity wall insulation processes, materials, and installation workflows. Experience preparing pricing for tenders or bid submissions. Knowledge of PAS 2030 / PAS 2035 retrofit standards. Highly organised with excellent attention to detail. Strong IT skills, including CRM, MS Office, and project management software. Ability to manage multiple deadlines and coordinate between departments. Good communication and customer service skills.

Desirable



Experience working with ECO4, GBIS, or local authority retrofit schemes. Knowledge of TrustMark requirements and compliance processes. Experience in construction finance administration (POs, invoicing, reconciliations).
