Madina Travel is a leading travel agency based in Nottingham, renowned for organising high-quality pilgrimage and religious tour packages to Makkah and Madina. We are now expanding our offerings to include pilgrimages to Iran, Iraq, and key Sikh religious sites across Pakistan.
Role Overview:
We are seeking a highly organised and proactive
Office Manager
to oversee the day-to-day operations of our Nottingham office. The successful candidate will be responsible for managing administrative functions, supporting our travel operations team, liaising with clients and partners, and ensuring the smooth functioning of internal processes. This role is ideal for someone with strong organisational skills, excellent communication abilities, and a passion for religious tourism.
Key Responsibilities:
Oversee daily administrative and operational activities within the office.
Manage office resources, scheduling, and supplies to ensure efficient workflow.
Coordinate with travel agents, vendors, and clients for seamless pilgrimage arrangements.
Support the preparation and organisation of group tours, including:
Hajj & Umrah (Makkah and Madina)
Ziyarat tours in Iran and Iraq
Sikh pilgrimage tours in Pakistan (e.g. Nankana Sahib, Kartarpur)
Maintain accurate records of bookings, client information, and travel documents.
Assist in creating marketing materials and basic campaign content using design tools (e.g. Canva).
Ensure excellent customer service and client satisfaction throughout the booking process.
Manage internal and external communications in English, Urdu, and Punjabi.
Organise team meetings, schedule appointments, and coordinate travel arrangements for staff.
Represent the company at local community events, exhibitions, and meetings when required.
Essential Requirements:
Fluency in English, Urdu, and Punjabi (spoken and written).
Strong administrative and organisational skills with attention to detail.
Proficient in Microsoft Office (Word, Excel, Outlook) and basic design tools (Canva or Adobe Express).
Excellent communication and interpersonal skills.
Ability to multitask and manage competing priorities effectively.
Familiarity with Islamic (Hajj, Umrah, Ziyarat) and Sikh religious pilgrimage practices.
Self-motivated and comfortable working both independently and in a team environment.
Desirable:
Previous experience in the travel or tourism industry is desirable, but not essential -- full training will be provided.
Experience working in a multicultural, multilingual environment.
Understanding of digital communication and social media platforms.
