The administration department is the central hub of our business. The team ensures the smooth running of Health & Safety appointments and post-visit client support, as well as supporting the Employment Law and Sales teams with various tasks.

The admin team are proactive and friendly, with bags of knowledge and enthusiasm for providing the best client care, so we are looking for like-minded people to help drive that enthusiasm forward.

What you will be doing



Maintain New Business and Renewals spreadsheets for accurate reporting, updating end-of-month reports to enable financial and commercial review of business. Update and Liaise with Commercial Director with overview of Office and any ongoing issues across departments. Support Health and Safety Operations Manager, maintaining and monitoring visits schedule for the Health and Safety team. Assist Head of Sales with client care appointment booking and diary management. Assist Head of EL and EL team with delegation of formatting and maintaining accurate reporting on employment documentation reviews. Assist EL department with printing and arrangements of training materials for consultancy visits. Oversee key projects as allocated by Departmental Heads Attend management meetings and have input in discussions and decisions as appropriate. To take minutes when required. Oversee regular client care calls via the Administration department and feedback to Departmental Heads. Identify client issues or concerns and assist in repairing client relationships. Manage workflow through Administration Department, supervising and monitoring the work of Administrators and ensuring timescales are met. Delegate written procedures and tasks carried out by the Administration Department. Overview and maintain Administration KPI's and other necessary reporting targets. Assist Administration in maintaining client database, ensuring established procedures for inputting and updating information are followed, to ensure accurate client records. Authorise and maintain holiday and sickness records for Administration staff. Liaise with finance and MD regarding external IT support to ensure cost effective maintenance of IT systems, ensuring staff IT issues are rectified in a timely manner. Oversee License Software (HubSpot, PandaDoc, etc.) in collaboration with the finance department. Manage VOIP system, on-call rota and client call times. Maintain office contracts such as cleaning and air con servicing are serviced to a high standard. Organise necessary maintenance and repair within the office, liaising with the landlord. Oversee and delegate onboarding of new employees on systems, devise and undertake induction program on Administration support and IT systems Ordering office supplies and other items necessary for breakrooms required. Any other task commensurate with the role.
Job Types: Full-time, Permanent

Pay: 31,000.00-33,000.00 per year
