Duties



Manage day-to-day office operations to ensure seamless functioning and efficiency. Supervise administrative staff, providing guidance, training, and development opportunities to foster team growth. Oversee scheduling management for meetings, appointments, and company events, ensuring optimal use of time and resources. Coordinate vendor management activities including negotiating contracts, processing invoices, and maintaining professional relationships with service providers. Handle human resources responsibilities such as onboarding new employees, maintaining personnel records, and supporting staff welfare initiatives. Manage payroll processes using QuickBooks or similar accounting software to ensure accurate employee compensation. Oversee budgeting activities by tracking expenses, preparing financial reports, and implementing cost-saving measures. Perform bookkeeping duties including filing financial documents, reconciling accounts, and maintaining accurate records. Maintain an organized filing system for all office documents--both physical and digital--ensuring easy retrieval and compliance with data protection standards. Serve as the front desk point of contact, greeting visitors professionally while managing multi-line phone systems with excellent phone etiquette. Coordinate event planning efforts for company meetings, training sessions, or special events to promote team engagement. Oversee office supplies inventory and order necessary materials to support daily operations. Implement policies related to office management procedures and ensure adherence across the organization. Support medical office management tasks if applicable, including appointment scheduling and patient record organization. Facilitate communication across departments to promote transparency and teamwork within the organization.

Qualifications



Proven experience in office management or administrative roles with demonstrated supervisory responsibilities. Strong organizational skills with the ability to manage multiple priorities efficiently. Excellent communication skills--both verbal and written--to interact effectively with staff, vendors, and visitors. Proficiency in QuickBooks for payroll processing and financial management tasks. Experience with schedule management tools and calendar coordination software. Skilled in vendor management including contract negotiations and relationship building. Knowledge of human resources functions such as onboarding, employee records management, and basic payroll administration. Competence in bookkeeping practices including filing financial documents accurately and reconciling accounts. Familiarity with office technology systems such as multi-line phone setups and front desk operations. Ability to plan events from conception through execution while managing logistics smoothly. Experience in medical office management or healthcare-related administrative functions is a plus but not required.
