Job Type: Part-Time - 16 Hours per Week

(minimum 4 hours per day)

Salary: 12 to 15k per annum (actual, for 16 hours per week) depending on experience + benefits

Location:

This is a fully remote role. We welcome applications from across the UK; however, due to the location of our Directors in the Northern Home Counties and the Midlands, and the expectation of occasional in-person meetings, we particularly encourage applicants based in the Northern Home Counties or neighbouring counties who can travel to these locations with reasonable notice.

About the Role:



To support Valour Consultancy's continued growth as a trusted provider of market intelligence services in the mobility sector - spanning aviation, maritime, and other transportation domains - we are looking to hire a highly organised and proactive Office Manager to join our team on a part-time basis, working 16 hours per week (minimum 4 hours per day). You'll be the go-to person for coordinating tasks, streamlining processes, and supporting the senior leadership team and our team of consultants with day-to-day administrative needs. This role requires strong communication skills, excellent time management, and the ability to work independently while staying connected with a fully remote team.

Key Responsibilities



Administrative Support:

Oversee day-to-day virtual office operations, schedule and coordinate virtual meetings, team check-ins, and company activities.

Consultant Coordination:

Manage calendars, schedule client meetings, and prepare proposals.

Client Communication:

Serve as a professional point of contact for clients regarding scheduling, documentation, and general enquiries.

Document & Knowledge Management:

Maintain virtual filing systems, project files, contracts, NDAs, internal knowledge bases, and confidential data.

Finance & Reporting:

Assist with invoicing, expense tracking, consultant timesheets, and basic bookkeeping tasks.

Team Operations:

Support remote team members with tools, resources, and troubleshooting as needed.

Process Improvement:

Identify inefficiencies and help implement systems and tools to improve workflow and productivity.

HR Support:

Coordinate onboarding of new consultants and recruits, maintain personnel records, assist with contractor agreements, and organise induction sessions.

Director Support:

Assist Directors by preparing meeting agendas and accurately recording minutes from Directors' meetings.

Data & Compliance Support:

Monitor compliance with GDPR and other data protection requirements, ensuring secure handling of client and company information.

Supplies Management:

Responsible for the buying and delivery of office consumables as required.

Internal Communications:

Prepare and circulate company updates as and when required and managing company intranet.

Systems & Tech Onboarding:

Train team members on internal tools and processes to ensure consistency and efficiency.

Resource Management:

Maintain an inventory of software licences, subscriptions, and shared resources.

Travel & Accommodation:

Organise travel and accommodation for key industry events and internal meetings.

Qualifications & Skills



Proven experience as an Office Manager, Administrative Assistant, or similar role. Excellent organisational and multitasking skills. Strong written and verbal communication skills. Tech-savvy with proficiency in Microsoft Office Suite, Google Workspace, Zoom, and other remote work tools. Familiarity with project management software (e.g., Asana, Trello, Monday.com) is a plus. Experience with basic bookkeeping or accounting software (Hubdoc, Xero) is a plus. Ability to work independently, prioritise tasks, and meet deadlines. Comfortable working primarily within UK hours, with flexibility to adjust on the odd occasion to accommodate meetings across different time zones. Discretion with handling confidential client and company information. Experience supporting senior leadership or board members in a PA/EA capacity. Ability to work across multiple time zones and adapt communication style accordingly. Strong problem-solving skills with a proactive approach to anticipating needs. Background in a professional services or consultancy environment is advantageous.
