Office Manager & Administrative Lead


Location: Shrewsbury
Salary: 40,000
Hours: Full-time (ideally), permanent Monday-Friday, 9am-5pm.

Are you an exceptional Office/Administration Manager, ready to step into a pivotal role to support our leadership and home teams?


If so, you'll be the person that ensures the smooth running of all central and administrative functions within UCG, enabling our care and leadership teams to deliver the exceptional standards of care that we are known for, changing young people's lives for the better.


You will be a central point of contact across our homes, school and support teams and will be entrusted with maintaining these exceptional standards.

What You'll do


Central pointfor all incoming calls,visitorsandstakeholders at theoffice
Act as gatekeeper for information, directing queries to the right peopleat the right time whilstmaintainingclear boundaries and professionalism
Oversee day-to-day office operations, ensuring the environment is organised, secure and running smoothly
Maintain and update HR and recruitmentsystems andtrackers,databasesand SharePoint folders, ensuringaccurate, compliant record-keeping
SupportSaferRecruitment processes - tracking candidates through the workflow,ensuring compliance, undertakeessential checks(DBS and ID verification), prepareonboardingdocumentationandcreatefully compliantstaff files
Liaise with home managers to plan and coordinate new starterIDbadges,inductionsand training schedules
Prepare agendas, attend key meetings, takeminutesand circulate actionsin a timely manner
Collate data and produce regular reports for the senior team
Liaise with managers, local authorities,familiesand professionals to ensure efficient information sharing

What You'll need?


Proven experience in office management or senior administration, ideally within social care,educationor another regulated environment
Highly organised, with the ability to manage competing priorities,stakeholdersand meetings
Strong attention to detail and a methodical approach to data,documentationand safer recruitment processes
Confident and professional communicator, able to act as a first point of contact and organisational gatekeeper
Competent IT user, comfortable with spreadsheets, shared systems and learning new platforms
Discreet,trustworthyand confident handling sensitive information with integrity
Calm, resilient and adaptable in a fast-paced, people-focused environment
