Job Description

As Office Manager at Emixa, you will take the lead in managing the day-to-day operations of the office, ensuring it runs smoothly, efficiently, and professionally, while also providing valuable support to the Senior Leadership Team (SLT). This role combines office management, executive support and customer training coordination -- helping to create a well-organised and collaborative workplace that reflects Emixa's people-first culture and values.


Executive & Administrative Support



Arrange national and international travel, accommodation, and team itineraries.

Office Management & Operations



Oversee the day-to-day management of the Emixa office, ensuring a professional, safe, and welcoming environment. Liaise with landlords, contractors, and suppliers to manage facilities, maintenance, and site compliance. Manage reception, parking allocation, deliveries, and visitor processes, ensuring a positive experience for all guests. Monitor and manage office budgets, supplies, and equipment, supporting sustainability and cost efficiency. Act as Fire Warden, First Aid Officer, and Health & Safety coordinator for the office. Ensure adherence to health and safety regulations, including new starter inductions. Coordinate logistics and setup for on-site meetings and customer training sessions, ensuring all technical and hospitality requirements are met.

Systems & Communication



Maintain efficient document management systems using Microsoft Office, Teams, and SharePoint. Support process improvements and contribute to initiatives that enhance efficiency and teamwork across the business. Ensure the smooth flow of communication between teams, departments, and the Senior Leadership Team.

Skills & Attributes



Highly organised and detail-oriented with strong multitasking and prioritisation abilities. Excellent interpersonal and communication skills with a proactive, can-do attitude. Able to build trusted relationships across all levels of the organisation. Strong problem-solving and decision-making skills. Proficient in Microsoft Office Suite, Teams, and SharePoint. Confidential, professional, and approachable -- a true ambassador for Emixa's culture and values.
