Working with the Managing Director, Managers and staff to ensure the effective running of the business from an office management perspective. Provide secretarial and administrative assistance to the Managing Director.
General Office Management
Work with managers and staff to ensure the effective running of the business from an office management perspective
Manage the various contracts the company has and negotiate and arrange new ones as required
Manage the company's IT and telephone requirements, server/computer network, web sites, etc; liaising with our IT consultants on a regular basis
Oversee all company property, including computers, printers, photocopiers, scanners, telephones, cameras, etc are adequate, ordering new equipment when necessary
Ensure the office inventory is maintained and updated for all company property in conjunction with the Accounts Manager in relation to the fixed assets register
Prepare, analyse and revise administrative reports, e.g. vehicle tracker reports, telephone bills, etc in conjunction with the Accounts Manager as necessary
Ensure the adequate supply of company equipment and stationery, including printed stationary and business cards and make decisions concerning office budgets, expenditure, supplies, structure, repairs and the maintenance of equipment
Manage the organisation of conferences and other company events
Facilitate , new starters from a IT and property perspective , manage office moves and ensure all equipment requirements are available/ordered, including for site offices
Other general office management tasks, including overseeing the contracts cupboard, producing newsletters, general communication to staff
Ensuring company standards, document control and quality across the business, e.g. including email format/layout, letters and memorandums
ISO Auditor
Assist in the Monitoring, managing and auditing of the company Quality, Environmental and Health & Safety system
Liaise with consultants and staff, update forms and processes and reissue to all staff
Monitor non-conformance, carry out surveillance and internal audits on all departments
Send out and collate customer satisfaction information
Conduct 6 monthly management review
Personal Assistant to Managing Director
Provide secretarial and administrative support to the Managing Director as required managing diary entries etc
Take and produce the minutes for the monthly management meetings
Team Management
Supervision of the team and allocation of work and performance management of reception and admin staff
Carry out annual performance reviews and regularly review objectives
Desirable Skills And Experience:
Previous office management experience is essential, ideally with some experience of working in a construction/building company
Experience of negotiating and managing office contracts, e.g. photocopiers, mobile phones
HR experience - employee relations including disciplinary and grievance handling; recruitment, including interview and selection up to and including senior management level
Experience of managing/supervising a team. As post holder needs to be a good team leader with the ability to motivate and encourage other team members and colleagues
Proficient IT skills and competent in using Microsoft Office applications
Have the ability to communicate effectively at all levels.
Excellent numeracy and written communication skills
