Main Purpose of the Role
To ensure the smooth operation of the office and to provide support to partners and fee earners as required.
Key Duties and Responsibilities
Manage the cashflow & budgeting for the firm.
Undertake all daily bookkeeping tasks, including receiving cheques, cash, and payments, preparing outgoing payments, and processing invoices.
Provide monthly financial reports for solicitors.
Organise agendas and take minutes at monthly partners' meetings and other general staff meetings.
Manage internal communications and support with communications across all departments.
Assist with and monitor all office administrative procedures, including health and safety and human resources, cover reception duties when required.
Manage case management systems and ensure staff training.
Liaise with IT provider to maintain secure, efficient systems and backups.
Ensure cyber security measures are followed.
Manage office contracts and subscriptions.
Monitor the flexitime policy with regards to hours worked and TOIL.
Assist in the training and management of office administrative staff.
Support the yearly audit team and prepare reports for their use.
Assist with staff appraisals, day-to-day staff organisation, holidays, sickness absence and other general HR support.
Provide general assistance to the Partners in all aspects of office management.
Oversee buildings maintenance and the purchase/maintenance of office equipment, stationery, fixtures, and fittings.
The Ideal Candidate
Previous experience in office management, preferably within a legal or professional services environment.
Strong bookkeeping and financial management skills.
Excellent IT skills.
Excellent organisational and communication abilities.
Proficient in Excel.
Understanding of Anti Money Laundering & GDPR Requirements.
Ability to work independently and as part of a team.
Discreet, reliable, and able to handle confidential information.
