We are seeking a highly organised and proactive

Office Manager

to join our team. This is a key role that ensures the smooth running of the office and supports the operational efficiency of our planning consultants. You'll be the central hub of the business - managing day-to-day administration, coordinating team activities, and helping maintain an effective and positive working environment.

Full Time, 37.5 hours a week, normal working hours 9am-5pm, although flexibility in working hours will be considered for the right candidate.

Office presence is essential.

Duties to include:

Answering phone & message taking

Sorting and scanning post

Manage daily office operations including supplies, equipment, and facilities

Maintaining insurances, software licenses and IT hardware

Managing company subscriptions and renewals

Ensure compliance with health & safety and data protection policies

Liaise with clients and stakeholders via email and phone

Support HR functions such as onboarding, absence tracking, and holiday scheduling

Keeping up to date with any changes in employment law and actioning changes where necessary

Assist the Accounts Manager with finance tasks such as invoicing and expenses

Raising invoices on Sage

Processing payments received

Booking and coordinating training and networking events

Supporting marketing and business development activities, including managing the company's website content and social media accounts

Displaying company site boards

Provide administrative support to the Planning Team

Coordinate internal meetings and team events

Paying invoices and sundry costs

Ensure the smooth running of the office

Client accounts and book-keeping (using Sage)



Recording fee proposals issued and instructions received

Raising invoices

Reconciliation of accounts

Monitoring and chasing overdue invoices

Monitoring expenses and payments of bills

Preparation of accounts board pack including monthly P&L, debtors etc

Liaising with external accountant to process payroll, new starters / changes to contracts / VAT / End of Year Accounts and Company Returns

Input into annual business planning process (together with external financial advisor)

Skills required:

Proficient in Microsoft Office Suite and general IT systems

A friendly, approachable attitude and ability to work independently

Good written and verbal communication

Confident in managing multiple tasks with attention to detail

Excellent time management

Excellent organisational skills

Ability to work on own initiative, as well being a team player

Driving license

Not essential:

Experience in raising invoices

Awareness of the planning system

Awareness of the development sector
