Office Manager
who will play a central role in strengthening our internal operations, supporting our teams, and enabling our continued success.
Role Purpose
The Office Manager will be responsible for the efficient running of the office and supporting the business across administration, finance support, HR processes, and marketing coordination. This person will act as a key support to the Managing Director and wider team, ensuring that day-to-day operations run smoothly while contributing to the company's longer-term growth and system development.
Key Responsibilities:
Office Management & Administration
Oversee the smooth running of the office, facilities, supplies, and systems.
Ensure company policies and procedures are maintained and updated as needed.
Produce clear and accurate business reports for management.
Manage general administrative tasks across the business.
Finance Support
Work closely with accounts to monitor debtors and ensure effective credit control.
Support financial processes with accurate records, reporting, and liaison with external accountants as required.
Use of
Sage
or similar accounting systems would be advantageous.
HR & People Support
Assist with HR administration including holidays, sickness, contracts, and personnel files.
Support staff appraisals and performance review processes.
Contribute to recruitment administration and onboarding of new employees.
Marketing Support
Provide administration support to the marketing team when required (specialist marketing knowledge not essential).
Assist with supplier and client communication.
Attend meetings, take clear and accurate minutes, record actions and ensure follow-up is completed within agreed deadlines.
PA Support to Managing Director
Act as a first point of contact for the MD on day-to-day matters.
Manage diary, schedule meetings, and support with key administrative tasks.
Provide organisational and administrative assistance on business initiatives.
Systems & Process Development
Review and improve internal systems to enhance efficiency and scalability.
Support the integration of a new CRM system as part of future growth plans.
Key Skills & Experience:
Proven experience as an
Office Manager
or in a similar senior administrative role (essential).
Strong organisational and administrative skills with excellent attention to detail.
Experience working with finance processes (credit control, debtors, reporting).
Experience with
Sage
accounting software (preferred).
Understanding of HR administration and employment processes.
Proficient in Microsoft Office and digital business tools; experience with CRM systems advantageous.
Highly organised with the ability to
create accurate and insightful reports
.
Excellent communication and interpersonal skills with the ability to work across teams.
Ability to lead and motivate.
Proactive, solution-focused, and able to adapt in a growing business environment.
Degree level education or equivalent professional experience/qualification.
