About the Role:


We are looking for a proactive and organised

Operations Administrator

to support the daily running of our operations across both office and warehouse functions. This role requires excellent coordination skills, attention to detail, and the ability to work collaboratively with multiple departments to ensure smooth day-to-day business activities.

Key Responsibilities



Office Duties:



Handle day-to-day operational matters in coordination with management. Manage incoming and outgoing calls and respond to internal and external queries. Provide product information and arrange for product samples when required. Prepare and organise drivers' delivery rounds, ensuring efficient and fair allocation of routes. Coordinate purchasing requests, including obtaining price approvals from management before placing orders. Order stationery, raw materials, and dry goods as required. Support with investigations, disciplinary meetings, and related documentation when necessary. Draft and maintain internal procedures and process documentation. Assist with drivers' administrative matters, including penalties, Tacho cards, and vehicle-related issues (e.g. damages, service bookings). Oversee end-of-day reconciliation Ensure labelling processes are accurate and compliant, liaising with the Technical Manager where needed. Manage trademark and logo renewals and ensure timely updates. Conduct employee inductions and maintain health & safety records, including adding new staff to attendance systems. Monitor and report any health & safety issues, liaising with the engineer for maintenance scheduling. Handle PDQ (card payment) and IT-related issues by coordinating with relevant support providers.

Warehouse Coordination:



Communicate effectively with the warehouse team to ensure smooth coordination between departments. Support with tracking inventory and inform the Factory Manager of production needs. Assist in checking third-party deliveries when required. Support stock checks and monitoring of driver rounds when the office team is unavailable.

Requirements



Previous experience in operations or administrative roles (preferably within manufacturing or logistics). Strong organisational and multitasking skills. Excellent communication and problem-solving abilities. Competent in Microsoft Office and general IT systems. Ability to work under pressure and manage shifting priorities. Flexibility to assist across departments when required.
