About the role:



You will be in a team to support your colleagues and line manager in the day to day running of the operational functions within the business, this will involve effectively managing your time to achieve the company's high standards whilst ensuring all regulatory requirements are achieved and maintained. We will work with you to develop your skills across the three key areas to ensure you have the knowledge to be competent in your role. You will be required to act responsibly and professionally at all times and to be able to carry out all of the duties and responsibilities required of the role.

Responsibilities:



1. Exports



Ensure that all flights are closed before their designated closeout times.

Respond promptly to customer inquiries regarding export-related issues.

Collaborate with the Export team to coordinate flight allocations, build plans, and ensure timely flight closeouts.

Notify and liaise with customers regarding offloads or changes to their shipments.

Verify that all flight paperwork is accurate and complies with customs regulations.

Review and manage emails related to exports, ensuring proper filing or flagging for follow-up actions.

Provide assistance to the Export team and Customer Service team as needed to maintain efficient operations.

Work within a secure area, ensuring adherence to all security procedures and maintaining confidentiality of sensitive information.

2. Customer service



Chase Ground Handling Agents (GHAs) and Origin stations for missing or delayed material to ensure timely resolution for customers.

Answer customer phone calls and address inquiries or issues related to import/export shipments.

Assist the front desk in signing in drivers, ensuring smooth logistics operations.

Answer, file, or flag emails related to both Import and Export functions, ensuring appropriate follow-up.

Liaise with customers regarding missing bags, providing updates and resolution as needed.

Provide updates to customers on offloaded shipments and work to resolve any related issues or concerns.

Ensure flight messaging is complete and accurate, keeping customers informed of any important updates.

Email relevant parties (e.g., CNS, IT support, Accounts) regarding system issues or technical problems affecting operations.

Provide support to the Export and Import teams, assisting with customer service-related tasks to maintain smooth operations.

3. Imports



Uploading flights to the system to ensure all necessary data is recorded.

Filing emails appropriately for future reference and ensuring they are easily accessible.

Chase Ground Handling Agents (GHAs) and Origin stations for missing or delayed material, ensuring that the necessary items are located and expedited.

Arriving flights into CNS (Community network system) to confirm flight landing for customs clearance.

Replying to customers regarding missing bags, providing updates and resolving any issues or concerns.

Assisting the front desk in signing in drivers, ensuring proper documentation and smooth logistical operations.

Emailing relevant departments (e.g., CNS, IT support, Accounts, Border Force) about system, technical, or operational issues affecting operations.

Ensure flight messaging is complete, including sending any necessary flight updates or notifications to customers.

Liaise with the Import warehouse team regarding missing shipments, coordinating actions to locate and deliver the shipments.

Assist Customer Service and Export teams by supporting their daily operations, addressing customer needs, and ensuring smooth operations across departments.

Ensure all shipments are arrived in our inventory systems and follow up if anything hasn't been processed.

Job summary:



We are seeking a highly organized and proactive office operative to join our dynamic team. This role is key to supporting both customer service and operational functions for Export, Import, and customer inquiries. The ideal candidate will ensure a smooth and efficient handling of shipments and be able to effectively communicate with customers about timely resolutions of issues across departments. You will work in a secure area, ensuring adherence to security protocols and maintaining high levels of confidentiality.

background & no criminal record

Government ID (Driving license or passport)

Good English skills (verbal & written)

Flexibility during peak periods
