Purpose of the Role
The Office Services Operator plays a key role in delivering high-quality reprographics, mail, and administrative support services to all Williams Lea managed service lines within GRESC. This position ensures the smooth and efficient running of day-to-day office operations, including document production, mail handling, scanning, data entry, and general administrative duties in line with agreed service levels and client expectations.
Acting as a central point of contact for internal clients, the Office Services Operator is responsible for maintaining accuracy, confidentiality, and professionalism in every task performed. The role requires strong organisational skills, attention to detail, and a proactive, customer-focused approach to ensure consistent delivery of exceptional service and operational excellence.
Key Responsibilities
Client ServiceProvide a consistently high level of customer service, maintaining professionalism and courtesy at all times
Treat all clients in a helpful and approachable manner, ensuring requests are clearly understood, agreed upon, and completed accurately
Ensure all deadlines are met in accordance with Service Level Agreements (SLAs), escalating any potential issues to the Administrative Team Leader
Follow up on client requests promptly, providing options and value-driven solutions
Ensure all calls are answered within three rings and handled in a professional, business-like manner
Proactively ensure client satisfaction by maintaining clear communication and reliable follow-through on all tasks
Operational DeliveryPerform a variety of office services duties including mail handling, scanning, reprographics, data entry, and courier coordination
Manage incoming and outgoing mail, including accountable mail, using digital mail lockers and franking systems
Conduct X-ray scanning and security checks of all incoming goods
Distribute and collect internal mail, stationery, paper, and archive boxes across all office areas
Operate scanning and reprographics equipment to convert hard copy documents to digital formats, ensuring accuracy and file integrity
Perform data input and verification in tracking systems, ensuring consistency and attention to detail
Support the Service Desk and cover colleagues' duties during absence or peak periods
Maintain accurate records, logs, and inventories as required
Ensure all tasks are completed in compliance with Health & Safety and IT policies
Uphold housekeeping standards, maintaining clean and orderly working environments
Undertake any ad hoc or project-based tasks as assigned by the Administrative Team Leader
Collaboration and Continuous ImprovementWork collaboratively within the team to ensure seamless service delivery and knowledge sharing
Support process improvements and identify opportunities to enhance efficiency and service quality
Complete all mandatory Williams Lea and client-specific training
Demonstrate flexibility and adaptability in response to changing priorities and client needs
