Office Supervisor

Job Description

We are seeking a proactive and experienced Office Supervisor to oversee daily office operations, lead administrative staff, and support the Chief Executive. The ideal candidate will have strong leadership, organisational, and communication skills, with proficiency in Microsoft Office Suite and office management software.

Key Responsibilities:



Supervise Office Staff: Lead, train and motivate administration office-based staff, to promote effective and collaborative teamwork and achieve organisational goals. Manage Office Operations: Oversee administrative processes, including scheduling, correspondence and record-keeping. Inventory Management: Ensure adequate stock levels of office supplies and manage inventory for meeting spaces and administration office. Coordinate meetings and events: Schedule and organise meetings, events and seminars taking place at Ards Business Hub. Website and Marketing Strategy: Oversee the maintenance of the company website and collaborate with the marketing team to develop and implement marketing strategies. Implement Policies and Procedures: Enforce office policies and conduct regular audits to ensure compliance. Assess Stakeholder Needs: Evaluate and address the needs and concerns of stakeholders to ensure satisfaction and effective communication. Manage Business CRM: Oversee the management and utilisation of the company's Customer Management (CRM) system to enhance client interactions and data management. Admin Support to Chief Executive: Provide administrative support to the Chief Executive, including managing schedules, preparing reports, and handling correspondence. To undertake such other relevant duties that may arise.

Essential Criteria:



Minimum 5 GCSEs (Grades A-C), including English and Maths At least 3 years' experience in office management or team supervision Ability to effectively interact with staff, management and external stakeholders. Proven ability to supervise, train, and motivate office staff. Strong ability to manage multiple tasks and prioritise effectively. Ability to analyse situations and make informed decisions. Proficiency in Microsoft Office Suite and office management software. Ability to prioritise tasks independently and work under pressure.

Desirable Criteria:



Working knowledge of ISO 9001 and completion of internal auditing function. Experience in event management and providing support to organisational events. Experience and understanding of communications and marketing including updating of social media accounts and website content management system.

Hours of Work:



Full time, 37 hours per week preferred. Option of occasional working from home.

There may be a limited degree of flexibility on working hours (minimum 30 hours per week) and/or hybrid working available to the successful candidate.

Flexibility is required, depending on organisational needs, to include occasional early mornings, evenings, and weekends.

Job Types: Full-time, Permanent

Pay: 28,000.00-33,000.00 per year
