The Office Support Officer will play a key role in ensuring the smooth operation of both administrative and facility-related functions within the organisation. This is a dynamic position that combines traditional administrative duties with elements of office management, property oversight, reception, and customer service. The ideal candidate will be highly organised, proactive, and adaptable to a variety of tasks.
Key Responsibilities
Service Delivery
Communicate professionally with tenants, clients, contractors, and team members.
Manage day-to-day office operations, including ordering supplies and maintaining a tidy, organised workspace.
Coordinate contractors for building maintenance and minor repairs.
Support reception functions and act as the first point of contact for internal and external stakeholders.
Ensure compliance with health, safety, and regulatory standards for the office and property.
Upholds equality and respects diversity, ensuring a fair and inclusive service to all, including vulnerable, ethnic, and multicultural VCFSE clients in a front-facing role.
Administrative Support
Provide administrative assistance to management and staff.
Handle correspondence including emails, letters, phone calls, and meeting scheduling.
Prepare and format documents, reports, presentations; perform data entry.
Support internal departments with administrative tasks and document preparation.
Conduct daily post duties, including sorting, distributing, and logging mail.
Assist with basic bookkeeping, including processing invoices and expense record.
Coordinate room bookings, and appointment scheduling.
Help organise company events, meetings, and social gatherings.
Maintain accurate and organised physical and digital filing systems.
Professional Development
Complete required GDPR and role-specific training.
Attend internal or external meetings as agreed with your line manager.
Contribute to service initiatives aimed at improving operations.
Other Duties and Responsibilities
Undertake any tasks within the scope of the role to support effective service delivery.
Assist in developing new processes to enhance office efficiency.
Comply with Health and Safety guidelines and share responsibility for your own safety and that of colleagues.
