Role responsibilities



As the Operational Planning and Allocation Assistant, you will provide administrative and logistical support the performance and planning project manager. Supporting the planning and implementation of all relevant projects.

Responsibilities will include but not be limited to:

Providing day-to-day administrative support to the Operational Planning Project team. Act as first 'point of contact' for any enquiries, requests, or opportunities. Managing room bookings / stationery orders / department mailboxes. Produce / distribute departmental paperwork. Ensure that procedural timescales are always adhered to. Financial reconciliation activities, including purchase orders, requisitions, and invoice validation. Produce and manage project support materials such as action trackers, risk registers, meeting minutes / notes, and briefing documents Maintain a robust and accurate filing system (both electronic and physical) to manage archive and reference material Maintain a positive working relationship with key stakeholders (internal and external), always representing the interests of Transport for Wales in a positive and professional manner A good knowledge of network geography and experience of the transport sector are preferable

Who we're looking for



Excellent communications skills, both verbal and written. Excellent interpersonal skills. Excellent analytical and problem-solving skills. Experience in writing professional material, with appropriate language and presentation. Attention to detail and organisation skills. Ability to work on multiple tasks and prioritise workload appropriately. Experience in creating plans and tracking through to completion

Welsh Language Skills



The ability to speak/write Welsh would make a great addition to your application, but it is not essential for this role.

Transport for Wales supports and promotes the use of the Welsh Language by employees and will encourage them to develop, improve and maintain their Welsh Language skills. Fel Cynorthwyydd Cynllunio Gweithredol a Dyrannu, byddwch yn darparu cymorth gweinyddol a logistaidd i'r rheolwr prosiectau cynllunio a pherfformiad. Byddwch hefyd yn cefnogi'r gwaith o gynllunio a gweithredu'r holl brosiectau perthnasol.

Bydd cyfrifoldebau'r swydd yn cynnwys y canlynol, ymhlith pethau eraill:

Darparu cymorth gweinyddol i dim y Prosiect Cynllunio Gweithredol o ddydd i ddydd. Bod yn brif gyswllt ar gyfer unrhyw ymholiadau, ceisiadau, neu gyfleoedd. Rheoli'r gwaith o archebu ystafelloedd / archebu nwyddau swyddfa / blychau post yr adran. Cynhyrchu / dosbarthu gwaith papur yr adran. Sicrhau y glynir wrth amserlenni gweithdrefnau bob amser. Ymgymryd a gweithgareddau cysoni ariannol, gan gynnwys archebion prynu, atafaeliadau, a dilysu anfonebau. Cynhyrchu a rheoli deunyddiau cefnogi prosiect megis olrhain camau, cofrestrau risgiau, cofnodion / nodiadau cyfarfodydd, a dogfennau briffio Cynnal system ffeilio gadarn a chywir (copi electronig a chopi caled) er mwyn rheoli'r archif a deunyddiau cyfeirio Cynnal perthynas waith gadarnhaol gyda rhanddeiliaid allweddol (mewnol ac allanol), gan gynrychioli buddiannau Trafnidiaeth Cymru mewn modd positif a phroffesiynol Gwybodaeth dda am ddaearyddiaeth rhwydweithiau a phrofiad o'r sector trafnidiaeth yn ddymunol
