Keystep Education is a well-established and respected 11+ tuition company based in Southwest London. We provide high-quality, one-to-one academic support to students preparing for selective school entrance exams. With growing demand and a busy team of tutors, we are now looking for an organised, proactive, and solutions-focused Operations & Admin Coordinator to support the director and help drive the business forward.
About the Role
While core administrative responsibilities will form a consistent part of your week, the role also involves creative thinking, initiative, and ownership. We're looking for someone who thrives on autonomy -- someone who can be given a problem and return with a proposed solution.
You'll be based at our Tooting office for all working hours and will serve as the central support for operations, administration, and day-to-day logistics. This is a great opportunity for someone who enjoys variety, likes improving systems, and is confident juggling multiple priorities with minimal oversight.
Responsibilities
Act as PA to the director: managing calendars, communications, and ad hoc projects
Manage tutor schedules and prepare payroll data
Issue client invoices via QuickBooks follow up on payments, and reconcile accounts
Maintain our CRM system
Monitor and record company income and expenses
Run recruitment admin: screen applicants, coordinate interviews, gather references
Manage tutor personnel files (CVs, contracts, compliance documentation, etc.)
Liaise with parents and tutors regarding student progress, queries, or feedback
Assist with marketing and SEO work (basic level), and manage social media scheduling
Deliver small training sessions or onboarding for new tutors as needed
Generate reports (e.g. cash flow, invoicing summaries)
Oversee VAT tracking and submissions, ensuring accurate records of all VAT-in and VAT-out activity, and liaising with the accountant as needed
Source materials or supplies for tutors or the office
Take ownership of small projects or tasks such as:

Someone confident working independently and taking ownership of problems
A sharp organiser who can switch between admin and creative thinking
Strong written and verbal communication skills
Comfortable using systems like Excel, QuickBooks, Google Docs/Sheets, Canva, or willing to learn
Experience in administration, operations, education or customer-facing roles
A calm, professional presence who represents the business well
Must be able to commute easily to Tooting -- this role is fully office-based
