Vanilla In Allseasons is a premium event catering company delivering outstanding food and hospitality across Cheshire, Manchester and Staffordshire. We work in a wide range of venues including wedding venues, cafes and a golf club, and are known for our calm, professional delivery and exceptional attention to detail.
We're looking for a highly organised Operations Administrator & Event Co-ordinator to support our Head of Operations and play a hands-on role in the planning and delivery of live events.
The Role
This is a varied, fast-paced position combining high-level administrative support with front-of-house event work. You'll help ensure events are meticulously planned, properly staffed and smoothly delivered -- both behind the scenes and on-site.
You'll be equally comfortable managing logistics, spreadsheets and schedules in the office, and supporting guests and teams at busy events.
Key Responsibilities
Provide day-to-day administrative support to the Head of Operations
Assist with event logistics, schedules, staffing plans and documentation
Prepare and manage function sheets, running orders and operational checklists
Coordinate staffing rotas, availability, confirmations and communications
Support recruitment administration, onboarding and staff records
Maintain organised records for events, suppliers, equipment and compliance
Liaise with venues, suppliers and internal teams
Support health & safety and compliance documentation
Work on-site at events in front-of-house roles including setup, service and bar work
Act as a professional ambassador for Vanilla In Allseasons at all times
Essential Skills & Experience
Strong administrative and organisational skills with excellent attention to detail
High competency with Microsoft Office / Google Workspace (Excel essential)
Ability to manage multiple priorities in a deadline-driven environment
Clear, professional written and verbal communication
Calm, reliable and professional under pressure
Able to work at least one weekend day every week, plus occasional evenings as required
Full UK driving licence and access to a car (essential)
Desirable
Experience in events, hospitality, catering or operations
Staffing coordination or logistics experience
Front-of-house or bar service experience (or willingness to train)
