You will provide a crucial role in insuring that the refuge is adhering to health and safety requirements whilst also having a passion for creating welcoming spaces for women and children fleeing domestic abuse. We are seeking a detail-oriented and proactive Operations Administrator to join our team. This role is essential in ensuring the smooth operation of our administrative functions, supporting various departments, and enhancing overall efficiency. The ideal candidate will possess strong organisational skills and a keen eye for detail, enabling them to manage multiple tasks effectively.

Duties



Perform clerical tasks including data entry and maintaining accurate records. Answer phone calls with professionalism, demonstrating excellent phone etiquette. Manage office supplies and inventory, ensuring all necessary materials are available. Assist in the preparation of reports and presentations as required by management. Coordinate meetings and appointments, ensuring all logistics are handled efficiently. Maintain an organised filing system for both physical and electronic documents. Liaise with contractors reporting issues, arranging visits, escorting around site. Keeping maintenance logs and records up to date Meet & greet visitors, checking their ID documents, signing them in, etc. Be responsible for the ordering of office supplies Be responsible for the ordering of and setting up welcome packs Carry out maintenance and health & safety checks to ensure the safe keeping of the refuge and the building is compliant. Collecting post from the PO box, when required. Liaise with and organise the collection of donations. Carry out volunteer application process & complete DBS checks. Carry out administrative duties to fulfil the role and provide administrative support to the team, where necessary. Responsible for the oversight and completion of monthly charge cards. The ability to lead and escalate where necessary any Health and safety issues. To have an increased awareness of compliance issues for the building and plan appropriately. Proficient in clerical duties with a strong focus on data entry accuracy. Excellent phone etiquette with strong communication skills. Competent in using computerised systems and software, particularly Google Suite and QuickBooks. Strong administrative skills with the ability to manage multiple priorities effectively. Highly organised with a proactive approach to problem-solving. Ability to type efficiently and accurately, contributing to timely completion of tasks.
