Job Description

We are seeking a highly motivated and organised Operations Administrator to join our dynamic team at our Lancaster Mill. This exciting opportunity is ideal for someone passionate about organistion, communication and data input. The successful candidate will also be trained in weighbridge operations and raw materials booking to cover absences.

THE JOB


To provide administrative support to both the Transport and Operations teams to ensure the smooth running of site logistics, distribution planning, and production support functions. This role is key in facilitating communication, improving data accuracy, and enhancing responsiveness between departments. The role will also provide weighbridge cover and be trained in raw material booking to increase flexibility during absences or busy periods.

To portray a positive image of the company and its values in a professional manner. Co Ordinate training requirements for Transport and Mill staff. Manage/order PPE and uniform requirements for all staff. Complete daily and weekly environmental checks for site. Keep drivers working time hours up to date Adhere to Company and Group policies, including but not limited to those related to Safety, Health and Environment. To ensure all relevant legislation and approved codes of practice are adhered to in respect to ongoing compliance but not limited to UFAS, FIAS< & NOPS assurance schemes. Assist with the Downloading of vehicle Tachograph information when required Assist with tachograph data downloads, defect reporting Provide daily administrative support to both transport and operations departments (PO's, GRN's etc). Maintain accurate and up-to-date records of deliveries, collections, vehicle schedules and production paperwork. Responding to queries via telephone and email and escalating where appropriate. Assist in producing daily/weekly/monthly reports for management (e.g., transport efficiency, production KPIs, stock movements). Liaise with drivers and the distribution team to coordinate daily schedules. Input and manage vehicle and driver data for compliance checks. Support production and transport planning when required Operations-Specific Duties (ad-hoc) Assist in production paperwork management Track stock movements and communicate with the production planner on any issues. Be trained in and provide cover for raw material booking into stock control systems (e.g., incoming goods receipts).

Adhere to Company and Group policies and procedures, including but not limited to those relating to Safety, Health and Environmental.

SKILLS, EXPERIENCE AND QUALITIES REQUIRED

Essential




Familiar with HSE legislation and its practical application.


Experience of working with Drivers hours.


Strong administrative and organisational skills and ability to prioritise.


Ability to manage multiple priorities under pressure


Cross departmental working.


Experience of working with Microsoft office in particular Excel and Outlook.


Excellent communication skills, both written and verbal.


Attention to detail and data accuracy.


Positive attitude to change.


Working location and working patterns may vary according to business needs.


Applies discretion: communicates the right things to the right people.


Holds a full UK driving licence.

Desirable




Experience in food/Agricultural Industry.


Familiarity with weighbridge operation.


Knowledge of stock control or raw material booking process.


Experience in using transport ERP systems


Previous experience of using D365
