Overview


We are seeking a diligent and detail-oriented Compliance Officer to join our organisation. The successful candidate will be responsible for ensuring that all company operations adhere to relevant legal standards, internal policies, and industry regulations. The Compliance Officer will play a vital part in safeguarding the organisation's reputation and operational excellence.

Duties



Develop, implement, and monitor compliance policies and procedures across all departments. Conduct regular audits to identify potential areas of non-compliance and recommend corrective actions. Keep abreast of changes in legislation, regulations, and industry standards relevant to the organisation's operations. Provide training and guidance to staff on compliance requirements and ethical standards. Investigate any reports of misconduct or violations of policies, ensuring thorough documentation and appropriate resolution. Prepare detailed reports on compliance status for senior management. Maintain comprehensive records of compliance activities, findings, and corrective measures undertaken. The role is to assist in managing the non-clinical side of the business enabling the practice to meet its agreed aims and objectives within a profitable, efficient, safe, and effective working environment.
Areas which come under the remit are listed below.

Building and maintenance

Equipment maintenance and calibration

Staff and HR including training and assistance with staffing

Health and Safety

Compliance - CQC

Technical infrastructure eg IT and telephone systems

Management of back office and support staff and systems

Help with management of specific projects eg flu and covid vaccinations.

Internal and External Communication and PR

Complaints and Significant Events management

Updating Policies and Protocols

Confidentiality/Information Governance

The compliance officerwill work approximately 32 hours a week over 4 days a week. Their role will be to support the practice manager and could include any of the above but initially expected to help with the following.

Building



Fire Safety - weekly fire alarm checks, making sure that the fire alarm system including emergency lighting is regularly maintained.

Legionella Testing - arranging regular testing of water as required.

Waste management - liaise with waste management companies as required.

Health and Safety



Carry out risk assessments when appropriate.

Fire - safety, carry out fire alarm checks and fire drills when appropriate. Make sure fire safety policy is kept up to date and adhered to. All annual safety checks in place.

Keep health and safety plan up to date.

COSH Risk Assessment and Training

IT/Telephones



First point of call with any IT, software or telephone problems.

Liaising with IT support in order to fix any problems.

Resetting of staff passwords on IT systems and smartcards

Setting up of new staff on systems

Back Office Functions



Although not part of main job function, it may be necessary for the compliance officer to provide emergency cover in the following back-office areas.

Answering telephones

Scanning of internal post

Processing of prescriptions

Be available by phone to admin staff for advice until 6.30 pm on your working day.

Policies and Protocols



Help PM with policies and protocols particularly those involved with building, equipment, IT and health and safety.

Complaints and Significant Events



Collate and file all complaints and significant events.

Organise regular complaints and significant events review meetings.

Confidentiality



Make sure that the practice stays compliant.

Carry out annual audit.

Submit annual declaration.

Ad Hoc



This is not an exhaustive list. Other tasks may be added which play to the applicant's personal strengths and assist the practice manager with their workload.

Financial Package

The initial rate of pay is 16.00 per hour. On top of that you would be eligible for the NHS Pension scheme.

You would be entitled to 5 weeks holiday per year plus bank holidays prorata.

Requirements



Proven experience in a compliance-related role within a similar industry or environment. Strong understanding of relevant legal frameworks, regulations, and industry standards. Excellent organisational skills with the ability to manage multiple priorities effectively. Exceptional attention to detail and analytical skills for assessing complex information. Effective communication skills, capable of delivering training sessions and clear reports. Proficiency in using compliance management software and MS Office applications. A proactive approach with high integrity and commitment to ethical standards. This role is integral to fostering a culture of compliance within the organisation while supporting sustainable growth through adherence to legal and ethical obligations.
Job Types: Part-time, Permanent

Pay: 16.00 per hour

Expected hours: 25.00 - 32.00 per week
