Are you an organised, proactive multitasker with a sharp eye for detail? Gordons Property Lawyers is looking for a dedicated Operations Assistant to join our fast-paced, collaborative team.
In this varied and dynamic role, you'll rotate across multiple operational teams, including Post Completion, Onboarding, Customer Contact Centre, and Post Room. You'll handle everything from supporting clients and processing legal documentation, to managing inbound queries and keeping our internal systems running smoothly.
Key Responsibilities:
Post Completion
Prepare and submit applications to HM Land Registry using internal systems and the Land Registry Portal.
Onboarding
Process new instructions and open case files across remortgage and transactional workstreams.
Obtain and verify title documents, conduct company checks, and prepare client welcome packs.
Make welcome calls, collect funds on account, and update introducer portals.
Monitor shared inboxes, follow up on leads, and produce quotes for potential clients and brokers.
Customer Contact Centre
Handle inbound and outbound calls professionally, providing timely and accurate updates.
Log call details in case management systems and ensure security protocols are followed.
Promote and explain the use of our client portal (G:PortL) to enhance the customer experience.
Support colleagues with queries and escalate process issues where necessary.
Post Room
Open, scan, and reference all incoming post; prioritise recorded and special deliveries.
Certify and return original documents promptly.
Process outgoing mail and manage postage logistics, including online orders and fines.
Assist with document destruction and respond to internal post-related queries.
Additional Duties
Collaborate across departments to ensure smooth handovers and consistent service delivery.
Contribute to process improvements and support ad hoc operational projects.
Respond to requisitions and correspondence from the Land Registry.
Liaise with lenders, landlords, and freeholders to obtain and send required documentation.
Manage file closures and ensure accurate updates to client and lender records.

Previous experience in a legal, conveyancing, or administrative role is a bonus.
