JOB TITLE

: Operations Assistant

2.

MAIN OBJECTIVES

: The key function of this role is to support the smooth running of the Operations department. This is a busy and varied role which incorporates all areas of operations.

: Operations Management Team

: None

WORKING HOURS:

Monday-Friday 09:00-19:00 (hour lunch break)

Out of hours callout / 1 in 3 weekend cover as per rota. Paid additionally at overtime rate.

KEY RESPONSIBILITIES:



Duties will include, but are not limited to:

Work with the Operations Manager to ensure that operations are carried out in accordance with UK and EU laws and regulations governing vehicle safety, environmental controls on fuel emissions and traffic congestion, driver hours and customers' requirements. Work with General Manager to achieve 'Earned Recognition' status and maintaining this process, alongside Management Team. Assist all office staff as required. Complete general office duties including answering telephones, dealing with customer enquiries, and providing administrative support where required. Work with the Operations Team collaboratively to carry out inductions for new staff, conducting return to work interviews and sharing information with HR. Work with the Operations Manager to ensure that the coach scheduling and administration, boarding lists, tour packs are correctly liaised with drivers and sales department. Update and maintain driver CPC records/database. Update and maintain driver DBS records/database. Work with Operations Manager to ensure gate checks & drug/alcohol testing are completed and compliant. Become familiar with all vehicle specifications, facilities and seating capacities.
Share holiday cover with Team members.

8. PERSON SPECIFICATION for Operations & Social Media Support



Essential Qualifications and Requirements



PCV Qualification and an industry background of Coach/Bus/HGV is essential.*
Strong organisational skills and ability to prioritise workloads of self and others. Computer literate with operational knowledge of Word, Excel and ability to quickly become competent with the Company booking System. Good verbal and written communication skills to at least Level 2 standard. Team Player. Able to lead on behaviours in line with Company core values - friendly customer service, dependability, reliability, flexibility. Ability to identify potential problems and provide sensible solutions. A "Can Do" approach. Ability to demonstrate behaviours aligned to the Company Core Values - Friendly Customer Service, reliability, dependability, flexibility.

Desirable Characteristics and Requirements



Knowledge of the Coach Marque / Guild Standards. European operational or driving experience. Numerate.
