The Charity Projects Administrator is responsible for providing all elements of support to the Charity Operations Lead, in the administration & scheduling of clinics, enabling the organisation to achieve its mission through community and volunteer engagement.
Job Background
We are a dental charity providing dental care to vulnerable people around the UK. We deliver this care using mobile dental clinics and due to significant growth we need an administrator to assist our Charity Operations Lead, in the logistical deployment of our vehicles to deliver clinics across the UK.
The role will be required to manage all aspects of administration of clinics by Dentaid The Dental Charity. As well as building strong working relationships with the Fundraising Team & other internal teams, to ensure the successful delivery of all clinics and sessions on the dates agreed.
Reporting to the Head of Operations, you will need to have the ability to manage resources efficiently, multitask, meet deadlines, be proactive, intuitive and communicate with all stakeholders providing excellent support to all partners, staff and volunteers.
Highly organised, operationally, and financially aware, you'll be expected to build effective working relationships within the organisation and with external partners, contractors and funders to meet the demands of ongoing and future needs.
Duties
Providing a confident reception service for telephone calls and visitors
Responding to email enquiries and managing the reception inbox, and other inboxes as required, providing cover during periods of absence
Providing all elements of administrative support to Dentaid's Charity Operations Lead to ensure the successful delivery of all clinics & sessions, including liaising with project partners
Maintain accurate, up to date, records using appropriate management systems (eg: CRM - Salesforce, Volunteero, Excel)
Raising invoices
Booking hotels, ferrys, and assisting with travel arrangements, including car hire
Maintain Google maps with any changes & additions
Sending acknowledgment and thank you correspondence
Filing, record keeping, postage and general office duties
Providing support for the financial director in accounts, expenses and financial reporting, as required
Supporting marketing activities
Looking at ways to improve workflow in line with Dentaid's Salesforce upgrade
Representing Dentaid and talking to callers, visitors and others about the charity, its projects and impact
Support the ICB Project with clinic paperwork and scheduling.

Proven administrative & organisational skills
Strong interpersonal and communication skills
Call handling confidence
Proficient in Excel
Experience in the non-profit, charity or community sector
Previous work within the dental industry would be helpful but not essential
Proficiency in using volunteer management, or CRM software, such as Salesforce
