OPERATIONS COORDINATOR



In Summary



TechSoft is a small but busy and growing business. Due to an increase in orders, enquiries, and the size of our product range, we are seeking a dedicated and detail-oriented Operations Coordinator to join our team. This role will support key operational functions of the business, with a particular focus on product pricing, supplier price lists, and maintaining accurate product information on our internal systems. You will work closely with the General Manager, suppliers, and internal teams to ensure our pricing, product data, and operational processes are accurate, up to date, and efficient. We believe this role would suit someone who: Enjoyed or excelled in Maths at school and has a logical, analytical approach to work; Has excellent attention to detail and is comfortable working with numbers, price lists, and data; Is organised, methodical, and adaptable in a growing business environment Prior experience is useful but not essential, as training will be provided. Job Overview



We have an exciting career opportunity for an Operations Coordinator, offering excellent scope for personal and career development.

The successful candidate will need to live in or re-locate to a suitable location within a reasonable distance to our office in Bodelwyddan, North Wales.



The successful candidate will join a small but successful team and must be prepared to be a team player, assisting in various areas as needed. The specific job duties may vary based on the strengths and experience of the candidate.

Key Responsibilities



1. Pricing & Product Data Management:

Obtain and review price lists from suppliers, ensuring accuracy and completeness. Enter and maintain supplier pricing within our internal systems. Calculate and update selling prices in line with company pricing structures. Maintain accurate records of pricing changes and product updates.

2. Supplier Coordination:

Liaise with suppliers to confirm pricing, product changes, lead times, and availability. Request and organise product images, specifications, and descriptions from suppliers. Maintain professional and positive supplier relationships.

3. Order Management:

Accurately review and process customer orders, ensuring all details are complete and correct. Communicate proactively with customers to resolve any queries or issues.

4. Assist with accounts management:

Entering invoices, processing payments, and maintaining accurate records using Sage Accounts software.

5. Website Management:

Update product information, pricing, descriptions, and specifications on our website through an online portal. Upload and manage product images and supporting documentation. Add new products and amend existing listings as supplier ranges change. Ensure website content remains accurate, consistent, and up to date.

6. Operational Administration:

Utilise our in-house bespoke order and customer management system and Microsoft Outlook to manage daily operations and communications.

7. Office Administration:

Support general administrative tasks such as printing, scanning, preparing documents, and assisting with daily office operations. Assist in organising and maintaining warehouse stock levels to ensure accurate inventory and timely order fulfilment.

8. Team Support:

Take a flexible, proactive approach to support colleagues and adapt to new challenges as the business continues to grow.

9. Operational Improvement:

Review existing operations to identify and implement areas for development and growth.

Person Specification / Experience



The successful candidate will possess and demonstrate:

A high level of IT literacy, with essential experience in Microsoft Outlook, Word, Excel, PowerPoint, and other related packages. Strong numerical ability and confidence working with pricing and data. Exceptional attention to detail in all tasks. Excellent organisational and administrative skills. Clear and professional communication skills. Proficiency in troubleshooting and problem-solving. The ability to work independently as well as collaboratively within a team. Accurate time management and record-keeping. A flexible and energetic approach to work, with the ability to adapt to new and challenging tasks. The ability to see and understand the broader business context.
Familiarity with Sage Accounts Package would be useful, but not essential as training will be provided.

Education



GCSE (or equivalent): Maths and English at

Grade B/6

or above (or equivalent). A-Level (or equivalent): A strong academic background, ideally

including a numerical subject

such as Maths or Economics. University (or equivalent): A

Bachelor's

degree in a numerical, analytical, or business-related field (such as Maths, Economics, or Business) is preferred but not essential.

Terms and Conditions



1. Hours:

Office hours are 37.5 hours per week. 9am to 5pm, Monday to Friday with a half hour lunch.

2. Salary:

25,750 - 28,750, dependent on experience

3. Start Date:

As soon as possible

4. Holidays:

25 days per year, plus Bank Holidays. Please note that all holidays must be taken during normal school holiday periods. In addition, 3 of the days are fixed for our Christmas closedown, 5 of the days are fixed for our Summer closedown, and at least 5 other days must be taken during the normal school summer holiday period.

5. Team Collaboration:

The successful candidate will be part of a small, successful team and must be willing to assist in various areas as needed.
