Operations Coordinator

with excellent organisational skills, attention to detail, and a proactive "can-do" attitude. This is a varied and exciting role, ideal for someone who takes pride in their work and enjoys the challenge of coordinating engineers, managing customer enquiries, preparing quotes and paperwork, and helping to drive service sales and efficiency across the business.

About the Role



As an

Operations Coordinator

, you'll be the key link between our customers, engineers, and internal teams. Your role will involve handling enquiries, preparing quotes, scheduling jobs, and ensuring all parts and paperwork are in place. It's a fast-paced, varied position ideal for someone organised, proactive, and customer-focused who enjoys keeping things running smoothly behind the scenes.

Key Responsibilities



Handle all customer enquiries via email and phone in a timely and professional manner Produce, issue, and follow up on quotes to convert enquiries into confirmed jobs Schedule engineers efficiently to reduce travel time and increase productivity Prepare clear and complete job paperwork, liaising with the Team Leader for relevant documentation such as risk assessments Order parts for both sales and service jobs, tracking deliveries to ensure timely job completion Check engineer service reports, issue quotes for follow-up work, and ensure quotes meet minimum charge thresholds Build and maintain customer relationships Follow up on old and existing enquiries Generate and send invoices once jobs are completed Maintain accurate and up-to-date records in the company database (Filemaker) Work closely with the Team Leader to manage engineer reports and ensure all health & safety documentation and training is current Liaise with the Operations Manager to ensure all engineer documentation (e.g., DBS checks, vehicle insurance, ID cards) is up to date

The Ideal Candidate:



You will have:

Excellent planning and organisational skills Excellent written and verbal communication and influencing skills Excellent team-player/enjoys working in a small team Able to build and maintain good relationships with customers and engineers Able to interpret customer technical queries and relay accurate information to engineers Excellent attention to detail Able to work on own initiative, manage time and workload effectively Good working knowledge of Word, Excel, Microsoft Windows and Filemaker

This position is remote with occasional travel to the Winchester/Eastleigh area for team meetings. Applicants that apply from outside the Hampshire area will not be considered.
