We are seeking a highly organized and detail-oriented
Operations Manager Assistant
to support the daily operational functions of our law firm. This role involves assisting the Operations Manager in managing administrative systems, office procedures, vendor relations, compliance coordination, and resource planning. The ideal candidate will bring strong organizational skills, a professional demeanour, and the ability to thrive in a fast-paced, confidential, and deadline-driven legal environment.
Responsibilities
Support the Operations Manager in the daily management of law firm operations, including facilities, supplies, and technology
Coordinate with legal and administrative staff to ensure smooth workflow across departments
Assist in developing and enforcing operational policies and procedures that comply with legal regulations and firm standards
Track budgets, invoices, and vendor payments; liaise with accounting and external vendors
Help manage scheduling, calendar coordination, and logistics for meetings and firm events
Maintain accurate records of operational procedures, licenses, insurance, and compliance documents
Oversee office supplies and equipment, ensuring timely procurement and maintenance
Support onboarding of new staff, including office setup, access credentials, and training coordination
Assist with data collection and reporting on office productivity, cost-efficiency, and vendor performance
Coordinate IT support issues and ensure minimal disruption to legal services
Uphold confidentiality and discretion in handling sensitive information and firm matters
Skills
Prior experience in a law firm or professional services environment preferred
Strong organizational and multitasking abilities
Excellent communication and interpersonal skills
Proficiency in Microsoft Office (Word, Excel, Outlook), and document management systems
Familiarity with legal terminology, compliance, or HR procedures is a plus
Ability to work independently, take initiative, and manage competing priorities
Strong attention to detail and problem-solving capabilities
Bachelor's degree in Business Administration, Legal Studies, or related field (preferred)
