The Role
We're looking for a proactive, highly organised, and resourceful Operations Manager / Executive Assistant to join our growing team.
This unique hybrid position combines the strategic leadership of an Operations Manager with the hands-on executive support of an Executive Assistant. It's perfect for someone who thrives in a fast-moving environment, enjoys streamlining systems, and loves turning ideas into action.
Working remotely, you'll play a key role in managing the day-to-day operations behind our Therapy and Assistance Dog Programmes; initiatives that empower professionals and families to train their beloved pets into life-changing Therapy or Assistance Dogs.
Key Responsibilities:
Executive Support:
Provide high-level administrative and strategic support to the CEO and leadership team.
Manage calendars, meetings, and travel logistics with precision.
Prepare agendas, capture key decisions, and ensure timely follow-ups.
Handle sensitive information with absolute discretion.
Serve as the main point of contact for senior stakeholders, partners, and suppliers.
Draft compelling and engaging correspondence, presentations, and reports.
Operations Management:
Oversee daily operations and ensure the smooth running of PAWS - this is no mean feat!* Implement and continuously improve processes, including building automations and leveraging AI.
Manage complex logistics of in-person visits, assessments and events
Track KPIs and operational performance, reporting regularly to leadership.
Manage multiple inboxes, inbound messages and student onboarding
Project manage like a ninja! Pioneering special projects, events, and strategic initiatives that drive growth.
About You
We're looking for someone who is both strategic and hands-on, able to balance operational oversight with the agility to execute.
Requirements
5+ years' experience in operations, administration, or executive support.
Demonstrated success managing multiple priorities and deadlines.
Exceptional written and verbal communication skills.
Strong organisational and problem-solving abilities.
Comfortable working independently and remotely.
Experience in a fast-paced or growing organisation (preferably a small business or charity).
High emotional intelligence and a people-first mindset.
