Operations Manager



Role Context



The Operations Manager role provides leadership and accountability for core operational, governance, systems, and partnership administration functions. The role reduces day-to-day dependency on the CEO for operational oversight and ensures RCC's administrative, financial, and systems processes are well managed, compliant, and aligned with strategic priorities.

The role also carries responsibility for modernising and integrating RCC's back-office capability, driving efficiency, and embedding a culture of proactive, data-informed decision making. This includes oversight of finance and CRM systems, automation of key processes, development of tools, including AI, that reduce administrative burden, and ensuring partnership administration is accurate, timely, and aligned with contractual commitments.

Role Purpose



The Operations Manager is responsible for overseeing RCC's operational delivery, governance, systems infrastructure, and partnership administration, ensuring they are efficient, integrated, and future-ready. The role encompasses financial administration, committee and governance support, systems management, and line management of the Operations Coordinator. By reducing firefighting and increasing efficiency, this role creates the space for RCC to deliver its strategic ambitions.

Key Responsibilities



Finance and Administration



Oversee invoicing, expenses, payroll, direct debits, and membership renewals. Manage grants administration and maintain effective controls on payments and budgets. Liaise with the external accountant to support accurate financial reporting and compliance. Ensure the Operations Coordinator's finance-related tasks are completed effectively and to standard.

Governance and Compliance



Provide governance and Company Secretary support to the CEO and Board. Oversee committee management including scheduling, preparation of papers, meeting minutes, and action tracking. Ensure governance documentation is accurate, up to date, and securely stored. Oversee the Operations Coordinator's governance support activities, ensuring consistency and quality.

Systems, Partnerships, and Process Improvement



Lead CRM and finance system integration and development, ensuring data accuracy and ease of use. Drive automation of core processes and introduce contract management systems to reduce administrative drag. Oversee RCC's website maintenance and development. Explore and implement AI and other technologies to enhance efficiency and member experience. Coordinate partnership administration processes, including tracking agreements, maintaining records, and ensuring contractual commitments are met. Support income-generating partnership activities with timely administrative input and accurate data reporting.

Data and Insight



Ensure operational and membership decisions are guided by accurate data, including research, member insights, and analytics. Establish systems for tracking performance indicators across operational areas.

Team Leadership and Coordination



Line manage the Operations Coordinator, providing clear priorities, feedback, and professional development. Ensure the Operations Coordinator's work across finance, governance, scheduling, CRM data entry, and general administration is well-coordinated and meets organisational standards. Work collaboratively with other departmental leads to ensure operational alignment across RCC.

Skills, Knowledge & Experience



Essential:



Proven experience in operations management, preferably in a membership or not-for-profit environment. Strong understanding of governance processes and compliance requirements. Financial administration skills, including managing budgets, invoices, and payroll. Proficiency in CRM and finance systems, with the ability to lead integration projects. Experience in process automation and systems improvement. Excellent organisational skills and attention to detail. Ability to manage and prioritise multiple projects effectively. Strong interpersonal and communication skills, with experience in line management.

Desirable:



Experience working in a professional membership body or healthcare-related organisation. Knowledge of AI applications in business operations. Familiarity with website content management systems. Experience in using data and analytics to inform operational decisions.

Measures of Success in this Role



Operational processes run smoothly, with minimal errors or delays. Governance and compliance requirements are consistently met. Systems are integrated, modernised, and increasingly automated. Partnership administration is accurate and supports income generation. CEO operational workload is reduced, enabling greater focus on strategic priorities. Positive feedback from internal stakeholders on operational support and responsiveness.

Pay: 35,000.00-40,000.00 per year
