We are a growing property management company specialising in short-term rentals, currently managing 75 properties with ambitious plans to triple our portfolio by the end of next year. We're looking for a dedicated Property Operations Manager to oversee and streamline operations while helping us scale to the business to new levels.
Job Overview
The Operations Manager will play a critical role in overseeing our guest comms assistants, ensuring smooth daily operations, and providing hands-on support when necessary. This position requires someone highly organised, proactive, and experienced in managing short-term rental operations or similar hospitality roles. As we grow, this role will evolve into a leadership position, building and managing a larger team.
Responsibilities
VA Oversight and Management
Supervise virtual assistants, ensuring tasks are completed on time and meet quality standards.
Monitor and refine workflows to align with company goals and guest standards
Provide training and ongoing support to staff, ensuring consistency and high performance.
Conduct weekly performance reviews and offerconstructive feedback for improvement.
Task Completion and Quality Control
Oversee key operational areas, including guest communication, maintenance scheduling, cleaning coordination, and reviews/bookings.
Step in to handle urgent tasks when needed, ensuring deadlines and quality standards are met.
Maintain and optimise task tracking systems, such as Asana, to monitor progress and quality.
Operational Oversight
Ensure all properties are guest-ready and operating smoothly.
Onboard new properties to the portfolio, ensuring seamless integration into operations.
Handle escalated issues that assistants cannot resolve, providing hands-on support.
Regularly audit operations and report updates to the business owners.
Training and Process Optimisation
Develop SOPs (Standard Operating Procedures) and training materials for VAs.
Identify and implement tools/software to streamline task management and reporting.
Continuously improve processes to enhance eUiciency and reduce errors.
Hands-On Support
Be the first point of contact for urgent or unexpected issues in daily operations.
Handle challenging guest complaints or last-minute cancellations.
Make decisions on behalf of the business owners when needed, keeping them updated.
Requirements
Experience in short-term rentals, or the hospitality industry (e.g., hotels).
Strong administrative and operational skills, including experience with Property Management Systems (PMS) and Asana (preferred).
Exceptional communication, organisation, and problem-solving skills.
A proactive approach with ambition to grow alongside the company.
Experience in guest relations, maintenance coordination, and team supervision.
