to support the daily and nightly running of our coach operations across Crusade, Carolean, and Sovereign Coaches.
This is a hands-on role responsible for ensuring service reliability, driver compliance, fleet readiness, and high operational standards. Alongside core operations, the role also involves handling customer enquiries, preparing quotes, securing work, and supporting business growth.
You will act as a key link between drivers, operations management, and customers to ensure a safe, efficient, and well-run transport service.
Key Responsibilities
Operational Oversight
Check for uncovered work or driver/vehicle availability issues at shift handover
Maintain and update the Master Planning Portal (MPP) and Coach Manager systems
Ensure all upcoming work is fully allocated and correctly documented
Prepare and issue duty clipboards, bump cards, cleaning input/output sheets
Monitor driver sign-ons to ensure full service coverage
Liaise with the Operations Manager regarding defects, inspections, and vehicle availability
Report delays or operational issues promptly
Clerical & Administrative Duties
Handle customer enquiries via phone and email in a professional and friendly manner
Prepare and issue quotes for coach hire and transport jobs, following up to secure work
Maintain accurate records of enquiries, bookings, quotes, and customer details
Help promote company services to generate new business
Support marketing activity, including social media updates and local advertising
Maintain strong relationships with regular clients and resolve queries efficiently
Track and report enquiries and jobs won/lost to support performance monitoring
Carry out general office duties including filing, data entry, and stock control
Driver Management & Compliance
Issue, track, and record fuel cards, mobile phones, and payment machines
Monitor driver uniform standards and presentation
Conduct and record fortnightly quality checks on driver walk-round inspections
Carry out drugs and alcohol testing in line with company policy
Manage driver uniform issuance and documentation
Fleet & Depot Maintenance
Supervise safe vehicle parking and manoeuvring using a banks person where required
Ensure vehicles are fuelled, cleaned, and prepared to the required standard
Oversee depot housekeeping, including canteen areas, toilets, and waste disposal
Monitor stock levels of consumables and update stock sheets
Assist the Workshop Engineer with safety checks such as brake inspections
Carry out and record fire alarm and ladder safety checks
Health, Safety & Standards
Implement and maintain Health & Safety systems and records
Ensure consistent operational and depot standards
Identify, address, and report safety concerns or incidents promptly
Driving & Operational Support
Undertake driving duties when required to support operations
Provide on-site support during incidents, disruptions, or emergencies
About You
Previous experience in transport, fleet, or operations supervision (coach or PSV preferred)
Strong organisational and communication skills
Confident dealing with drivers, customers, and internal teams
Comfortable with planning systems, admin tasks, and record-keeping
Proactive, reliable, and calm under pressure
Flexible approach to working hours when required
