Job Summary:
We are seeking a highly organised and proactive
P.A & Property Administrator
to provide comprehensive administrative support and assist with the efficient management of our property portfolio. This dual role requires a versatile individual with excellent communication skills, a keen eye for detail, and the ability to manage diverse tasks to support both executive functions and property administration.
Key Responsibilities:
Personal Assistant Duties:
Provide high-level administrative support to [Director/Senior Management, if applicable], including managing calendars, scheduling appointments, and organising meetings.
Handle correspondence, including drafting emails, letters, and reports.
Organise and maintain confidential files and records.
Prepare presentations and other documents as required.
Manage travel arrangements and expense reports.
Property Administrator Duties:
Serve as a primary point of contact for tenant inquiries, maintenance requests, and general property-related communications.
Assist with the onboarding and offboarding of tenants, including preparing tenancy agreements and managing deposit documentation.
Maintain accurate property records, tenant databases, and maintenance logs.
Process invoices, manage utility accounts, and assist with rent collection queries.
Coordinate with maintenance teams and external contractors for property repairs and inspections.
Assist with marketing and advertising vacant properties.
Prepare and distribute notices to tenants as required.
Ensure compliance with relevant property legislation and company policies.
Qualifications & Experience:
Proven experience in an administrative or personal assistant role, ideally within the property or real estate sector.
Strong organisational and time management skills, with the ability to prioritise tasks effectively.
Excellent written and verbal communication skills.
Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and general office software.
Experience with property management software (e.g., CRM systems, accounting software) is highly desirable.
High level of attention to detail and accuracy.
Ability to work independently and as part of a team.
Discreet and able to handle confidential information with integrity.
Full UK driving licence (desirable, but not essential depending on travel requirements).
