We are looking for an experienced Personal Assistant (PA) to provide diary management and administrative support to the Group Chief Executive. You will directly report into the Executive Assistant for the Group Chief Executive.
Key Responsibilities
To arrange meetings and book travel on behalf of the Group Chief Executive and Group Financial Officer as requested, ensuring that diaries are appropriately organised/coordinated, and that the Chief Executive's time is managed efficiently
Ensure that the Chief Executive has printed papers and supporting information for meetings in good time to review ahead of meetings
Book meeting rooms and arrange for refreshments when required
Greet visitors who are attending meetings with the Chief Executive in a professional and polite manner
Process the Chief Executive's monthly credit card statement and submit regular expense claims for other expenditure incurred along with raising purchase orders
Provide support for the organisation of staff events, e.g., annual staff conference, summer, and Christmas events
To receive incoming post on the Chief Executive's behalf and bring any relevant correspondence to his attention
To prioritise more urgent tasks and manage own time effectively
Take meeting notes/actions in meetings when requested
Provide additional cover to PA's whilst they are on leave
About You
Ability to work at pace within a busy environment
Excellent organisation, prioritisation and time management skills
High level written and verbal communication skills
Must have good customer service skills
Attention to detail and commitment to high quality work
Ability to work effectively as part of a team
A warm, approachable style to delivery is required in order to build relationships and rapport
Skills Required
Previous experience as a personal assistant is essential
Ability to respond quickly to changing priorities, demonstrating a flexible approach
Ability to learn and understand GC Internal systems, spreadsheets, diary management and email
Must have strong interpersonal skills to deal with stakeholders and GC Staff
Willingness to undertake training as required
Knowledge of general office administration
Proficient in MS Office (Outlook, Word, Excel and PowerPoint)
