: PA (with Office Relocation Project Oversight)
Location: Lavery Rowe Advertising, 69-71 Newington Causeway, London SE1 6BD
Working Pattern: Monday-Thursday - Office-based 3 days per week, remote 1 day per week
Reports to: Co-Founder / Director
About Us
We are a successful, independent advertising agency with 25 staff led by two founder-directors. We produce creative, results-driven work across TV, press, radio, and digital, with a reputation for strong ideas and a collaborative culture. The business is employee-owned under an Employee Ownership Trust (EOT).
We're looking for a confident and proactive PA to support both Directors including overseeing an upcoming office relocation project. This is a varied role ideal for someone who thrives on responsibility, problem-solving, and making things happen behind the scenes.
Key Responsibilities1. Personal Assistant Duties (Director Support)
- Type dictated correspondence and emails.
- Manage the director's calendar, schedule meetings, and take minutes or notes when needed.
- Filter communications and follow up on tasks or decisions as directed.
- Discretion and respect for confidentiality are essential to this role
2. Office Relocation Project Management
- Lead the planning and execution of our office move, working closely with directors, contractors, and staff.
- Liaise with agents, solicitors, fit-out companies, and IT providers as needed.
- Develop and maintain a project timeline to ensure a smooth transition.
- Coordinate move logistics (furniture, equipment, telecoms, utilities, packing, change of address notices).
- Ensure minimal disruption to day-to-day operations throughout the relocation process.
- Set up the new office to be fully functional, comfortable, and compliant from day one.
3. General Administrative Support
- Organise internal meetings, events, and team communications.
- Assist with staff onboarding processes and basic HR admin.
- Help identify opportunities for Continuous Personal Development (CPD) in line with IPA requirements
- Help prepare presentations or format documents for client use.
Required Skills & Experience
- Proven experience in a PA, Office Manager, or project coordination role.
- Strong organisational and multitasking ability.
- Excellent written and verbal communication.
- Confident in liaising with suppliers, trades, and service providers.
- Comfortable managing projects with multiple moving parts and tight timelines.
- Familiarity with Microsoft Office and Dropbox tools.
