We are seeking a highly-organised person to assist with the delivery of the Parish Council's work by providing essential administrative support. This position requires a proactive individual with strong computer skills and the ability to manage multiple tasks efficiently. The post holder will work over 3 - 5 mornings each week, but also including at least one evening meeting per month.
Responsibilities:
Administrative duties as part of the Parish Office team, including, but not limited to:
dealing with enquiries from members of the public.
providing comprehensive administrative support to ensure efficient office operations;
performing data entry tasks accurately and in a timely manner;
utilising MS Office applications for document creation, spreadsheets, and presentations;
supporting the team in scheduling meetings and managing calendars;
preparing reports and documentation as needed;
assisting with the planning and delivery of events arranged by HPC;
undertaking any other duties to support the team from time to time as required.
Assist with the administration of HPC's Committees by:
preparing, publishing and circulating meeting agendas and minutes (in line with Council protocol) and ensuring that they are appropriately and securely filed;
receiving and dealing with correspondence and documents;
carrying out research required for meetings;
dealing with action points from meetings as appropriate;
managing small projects, including by:
ascertaining sources of funding;
obtaining quotes and permissions as appropriate;
liaising with relevant outside individuals and organisations;
following through to completion.

PERSON SPECIFICATION
Essential skills, knowledge and aptitudes:
Proven proficiency in MS Office applications, including Word and Excel.
Excellent interpersonal skills, especially in communication - written and oral.
Ability to work on own initiative.
Research and investigation skills, with a determined approach to problem-solving.
Excellent team-working skills, including a flexible approach.
Willingness to work in the Parish Office.
Desirable skills, knowledge and aptitudes:
Experience of website management and of digital communication, including emails and social media.
A proven interest in upholding the interests of the community
An understanding of safeguarding issues.
