About the Role
Join Charney Manor, a historic thirteenth-century Conference and Retreat Centre, as our Finance & Office Administrator. This hands-on role offers full ownership of the Manor's finances, combined with administrative and guest-facing responsibilities, providing a varied and rewarding day-to-day experience.
Key Responsibilities
Financial Management
Take full responsibility and ownership of all financial aspects and management of Charney Manor's finances.
Manage daily bookkeeping using QuickBooks Online.
Manage weekly and monthly payroll, including pulling Blip reports, checking working hours against rotas, calculating TOIL balances, and processing overtime.
Oversee monthly pension administration, notifying the provider of new starters and leavers, and completing accurate submissions.
Monitor credit control, outstanding invoices, and cash flow, ensuring timely recording of income and expenditure.
Process supplier invoices and customer invoicing in line with contractual agreements and timescales.
Manage and reconcile online bank accounts, company credit card transactions, PDQ payments, and employee, Trustee, and course organiser expenses.
Prepare monthly financial reports, monitor monthly sales forecasts, and ensure alignment with annual budgets.
Prepare and submit VAT returns and ensure accurate processing of PAYE payments.
Perform weekly banking, petty cash postings, and reconciliations.
Maintain staff financial records and update tax codes, holidays, and sickness in QuickBooks and BrightHR.
Handle daily B&B check-outs, ensuring accurate payment collection and issuing VAT receipts.
Manage Gillett's bookings, including pre-payments, invoicing, and issuing VAT receipts.
Administrative Duties
Handle telephone calls, booking enquiries, and customer communications.
Send out customer booking confirmations and receipts.
Order stationery, office supplies, and replacement items as required.
General / Operational Duties
Welcome and support guests, including showing them to rooms
Set up conference rooms as required.
Requirements
Previous experience in a finance, bookkeeping is essential.
Experience with QuickBooks Online is advantageous.
Flexible, collaborative, and proactive approach.
Strong attention to detail with the ability to work calmly under pressure.
Excellent organisational skills and ability to manage and prioritise a varied workload.
