The Office Administrator plays a key role in supporting the smooth and efficient day-to-day running of the nursery. This role requires a friendly, organised and proactive individual who can manage administrative duties with accuracy and professionalism, while building positive relationships with staff, parents and external partners.
Key Responsibilities
Communication & Parent Liaison
Respond to phone calls, emails and enquiries in a polite, professional and timely manner.
Communicate with parents and carers via the Blossom app or telephone regarding absences, updates, and general enquiries.
Maintain strong, welcoming and supportive relationships with parents and carers.
Administration & Record Keeping
Complete all accident/incident forms online and notify parents when necessary.
Ensure all registration and funding forms are completed accurately and filed securely.
Maintain accurate attendance, visitor signing-in records and other required documentation.
Support staff with general administrative tasks including photocopying, laminating, filing and shredding.
Operational Support
Place weekly orders for food and resources, ensuring supplies are always available.
Arrange and book staff training courses as directed by the Nursery Manager.
Assist in updating nursery policies and procedures when required.

The Office Administrator is expected to:

Documentation & Compliance
You may be required to manage or support records such as:
Risk assessments
Nappy changing and care logs
Accident / Incident / Existing Injury forms
Medicine administration records
Child information records
Daily registers
Accuracy and confidentiality are essential. Records must be clear, well-presented, and completed promptly.
Additional Information
This post is exempt from the Rehabilitation of Offenders Act 1974. Applicants must declare any convictions or relevant court orders.
Qualifications/Skills
Previous office experience is essential
Strong administrative experience with a focus on organisational skills
Proficient in computer skills, including Microsoft Office
Familiarity with QuickBooks is advantageous but not mandatory
Excellent typing skills with attention to detail for data entry tasks
Strong clerical experience with the ability to manage multiple tasks simultaneously
A proactive approach to problem-solving and the ability to work independently or as part of a team
