William Heynes Ltd is looking for someone to fill the role of

Parts & Parts Processing Administrator & Office Support

based at our workshop renovating & servicing classic Jaguars just outside Stratford-upon-Avon. The role requires liaising closely with the workshop team, supporting them by ensuring smooth & timely delivery & process of parts, as well as providing administrative support to the Office Manager.

The successful candidate will be proactive, a team player & show great communication within the workshop & with suppliers. They will be confident & accurate performing data entry & monitoring of our workshop computerised system & website orders. A 'can do' attitude with confident & effective workload management is essential.

There will be scope for the role to expand over time for the right candidate.

Providing administration support to the Office Manager eg: maintaining records/logs for H&S, arranging & monitoring tradesperson appointments etc.

Ordering and controlling all parts to and from suppliers as well as checking for quality control. Parts allocation to the correct vehicles & informing technicians of their arrival. Control of parts returns. Controlling suppliers for machining, plating etc. Recording & monitoring parts out for process to ensure accurate logging & timely return. Build & maintain relationships with suppliers. Driving to deliver & collect parts to /from suppliers as required (full UK driving licence required) Monitor & update the workshop software system; to include uploading parts to the relevant project ensuring they are set to 'invoicing' status as appropriate to support the finance team. Issue & document bar codes for parts storage location & tracking. Manage the company's online parts service - monitor & process orders & record sales, upload new parts. Product management of workshop to ensure effective stock control of consumable requirements for the workshop Working with the team to streamline parts processes to enable increased productivity by reducing costs where possible. eg. monitor parts expenditure & seek to reduce by researching cost-effective alternatives without affecting quality. Answering telephone enquiries & directing calls as appropriate. Assisting with customer hospitality as & when required - tea, coffee, welcome etc. The role may also require the successful candidate to perform other duties or tasks outside the scope of their normal duties to support the team.
Salary: negotiable depending on experience/candidate Hours: 25 hours per week (flexible eg: 09:30 - 15:00)

There is scope for the role to be flexible on days/hours but must include 4 days as a min to include a Friday.
