The Role
Reporting to the Finance Manager, this role is responsible for ensuring that invoices are paid regularly and within acceptable time frames, as well as for controlling the purchase order process.
This is a 20-hour per week role and our preference would be for a working week of Monday to Thursday from 9.00am to 2.00pm each day. However, we would consider alternative patterns as long as the post holder works a minimum of 20 hours and is present on Mondays and Thursdays (in order to liaise with the Finance Manager).
Key Tasks
To print all invoices received electronically
To maintain a register of all invoices received
To match invoices with supplier delivery notes
To enter invoices onto Sage
To issue purchase orders upon request
To match invoices to purchase orders (where raised)
To ensure invoices are signed off
To check nominal ledger coding
To resolve any queries with internal teams
To reconcile supplier statements with our records
To resolve any external queries with suppliers
To resolve any other queries/issues e.g. exchange rate variances
To scan all invoices onto the network
To provide cover for the sales ledger process in case of absence/leave
To undertake any other duties requested by the Finance manager that are commensurate with this role
Attributes Required
Experience of working within a purchase ledger role
A high level of accuracy in preparing and entering information
A systematic approach to problem solving
Ability to work under pressure, to establish priorities and meet deadlines
Ability to maintain confidentiality and discretion
IT literacy including use of Microsoft packages, particularly Excel
Good communication and interpersonal skills
A positive approach and the ability to work well in a team
