About the role:
As the Patient Onboarding Manager, you will lead a team dedicated to providing first-class service to prospective patients, ensuring a seamless and supportive onboarding experience. This is a key leadership position focused on team development, conversion strategy, and patient engagement -- all within a compassionate, high-performing clinical environment.
Person Specification:
You'll be a motivated, organised, and empathetic leader with a background in:
Sales, customer service, or patient onboarding -- ideally within Fertility.
Team management and performance development in a fast-paced, customer-centric environment.
CRM systems such as Salesforce (or similar platforms), with strong data literacy and reporting skills.
Excellent communication, problem-solving, and multitasking capabilities.
Comfortable training and presenting to groups.
Analytical mindset with a focus on process improvement.
Empathy and sensitivity in a patient-centred environment.
A background or understanding of fertility and private healthcare is very advantageous.
Key Responsibilities:
Lead and manage the Enquiries Team, ensuring high-quality patient communication, timely appointment bookings, and a streamlined onboarding process.
Develop and maintain a strong sales pipeline through proactive engagement with prospective patients and partnership enquiries.
Utilise Salesforce CRM to manage enquiries, monitor performance, and produce accurate reports on patient journeys and conversion metrics.
Coach, mentor, and develop team members through regular training, feedback, and performance management, including recruitment and appraisals.
Collaborate cross-functionally with the Marketing, Clinical, and Operations teams to align on patient acquisition and retention strategies.
Drive continuous improvement by identifying opportunities to enhance the new patient experience and increase booking conversion rates.
Produce monthly performance reports using internal systems (IDEAS & Salesforce) and present insights to senior leadership.
Represent London Women's Clinic at events including open days, seminars, and webinars as needed.
Knowledge/Skills/Experience:
Bachelor's degree in Business, Healthcare Management, Sales, Marketing, or a related field.
Experience or training in CRM systems management, particularly Salesforce.
Previous experience working in the private healthcare or fertility sector.
Knowledge of patient journey mapping and onboarding best practices.
Strong background in data analysis and reporting to inform business decisions.
Familiarity with regulatory standards and compliance requirements relevant to healthcare enquiries and patient data.
Excellent communication and interpersonal skills, ideally demonstrated through formal qualifications or workshops.
Experience with recruitment, team building, and performance management.
Demonstrated ability to lead cross-functional teams and collaborate with marketing, clinical, and operational departments
