Job Description

Job Summary:

Responsible for the day-to-day supervision of reception and associated functions ensuring they are carried out in accordance with agreed procedures, protocols and time-scales, reporting to the Operational Manager as necessary. To offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone. To facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies. To undertake a variety of administrative duties to assist in the smooth running of the practice.
Job responsibilities:

Ensure adequate staffing levels; organise Holiday/Sick rotas in line with agreed policy liaising with the Surgery Manager if needed. Manage the various appointments, visit and other books/systems in line with agreed policies. Continually assess and evaluate systems recommending changes and improvements to the Operational Manager as appropriate. Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures. Deal with general telephone enquiries from patients and general public. If designated to do so key in-patient identification data to computer. Oversee the processing of prescription requests in conjunction with the medicine's management team. Make appointments for patients to see practitioners as appropriate. Record messages for Doctor, Nurse, Administrative staff and other professionals either within the practice or associated with it. Undertake annual appraisals in conjunction with the Operational Manager and ensure any training identified is delivered and followed up. Provide induction training for all new staff and keep up to date with any training needs for existing staff. Be responsible for allocating work to the reception and admin team and keeping an eye on workload and directing staff as appropriate. Promote team working and motivate staff with a positive attitude. Encourage staff to support each other and allow for and promote a flexible approach to covering reception and admin tasks. Work with other departments to ensure patients are signposted to the most appropriate person/professional The above list of duties is not exhaustive and may be subject to change as deemed necessary.

They may also have access to information relating to the practice as a business organisation. All such information from any source is to be regarded as strictly confidential Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data.

The post-holder will assist in promoting and maintaining their own and others' health, safety and security as defined in the practice Health & Safety Policy, to include:

Using personal security systems within the workplace according to practice guidelines Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks Making effective use of training to update knowledge and skills Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards Reporting potential risks identified.

Contribution to the Implementation of Services:

The post-holder will:

Apply practice policies, standards and guidance Discuss with other members of the team how the policies, standards and guidelines will affect own work Participate in audit where appropriate.
