This is a part-time, 12-month fixed-term contract working 32 hours per week, based at our Cowley office. The role offers a pro-rated salary of 23,500 - 28,000, depending on experience.
At the Oxford Bus Company, we believe in connecting people -- to work, education, social life, and their communities. As a Payroll Administrator, you'll play a key role in ensuring our colleagues across driving, engineering, and support teams are paid accurately and on time every week.
Working closely with the Payroll Lead and wider Finance team, you'll help process weekly payrolls, maintain accurate data, support colleagues with queries, and contribute to smooth, efficient financial operations. This role is perfect for someone who enjoys detailed, structured work and wants to make a real impact behind the scenes.
What you'll do:
Prepare and input starter and leaver information each week
Review duty allocation system data for weekly-paid driving and engineering staff, correcting errors and preparing records for payroll
Check daily traffic delay reports for accuracy
Calculate company sick pay, SSP and sickness-related payments
Process driver shorts and overs, ensuring correct recoveries are made where necessary
Calculate average holiday payments
Prepare corrections import sheets for submission to the Head Office payroll team
Run and review Gross to Net reports, flagging any errors or underpayments
before approval
Reconcile control total reports with Head Office prior to payment sign-off
Handle payroll queries in person, via phone, and email
Additional duties may include:
Providing information for mortgages, loans, tax, and visa purposes
Supporting colleagues with pension queries
Preparing KPI reports for the accounts team and pension office
Updating the duty allocation system, including adding new employees, removing
leavers, setting passwords, and creating rotas
Providing support to the wider Accounts or Cash Office teams when required
What we are looking for:
Strong communication skills with the ability to work with colleagues at all levels
Excellent attention to detail and high accuracy
Familiarity with payroll processes, terminology, and legislation
Strong Excel skills
Ability to work independently and solve problems effectively
Strong organisational skills, with the ability to prioritise workload and meet deadlines
A positive, self-motivated attitude with a desire to deliver high-quality work
Professional approach with high levels of honesty and integrity
Calm, pragmatic, and reliable under pressure
Experience processing weekly payrolls
Experience within a finance team
Familiarity with rota or duty allocation systems
A driving licence (for occasional travel between sites)
