The role will play an essential part in the day-to-day operations of a busy Finance Team. The Payroll Officer will be responsible for administering and processing the payroll, pensions and benefit functions of the School, as well as being the primary point of contact for any queries. The role will work closely with the HR function and the rest of the Finance team to deliver an efficient and accurate payroll service to employees ensuring compliance with statutory regulations. Over the immediate term the role will also support the implementation of a new HR and Payroll system.
Key Duties and Responsibilities:

Payroll:
Maintaining the payroll system ensuring information from source documents is accurately and promptly entered and that monthly payroll journals are posted to the nominal ledger
Processing any employee pay related changes on the payroll system as notified by HMRC or by the HR team including new starters, leavers, contract variations, absence and term time adjustments (sickness/holiday/maternity etc), overtime, pay rises, student loans and employee tax code changes
Administering staff benefits including cycle to work scheme, staff loans and childcare voucher schemes
Preparing monthly BACS submission for payroll ensuring payment of salaries are made by the set deadlines
Generating monthly payslips and issuing P45 to leavers and P60s to current employees at the end of the tax year
Preparing and submitting all monthly/annual data and returns to HMRC, pension providers, and other agencies and organisations and making monthly payments as required by set deadlines
Calculating and processing P11d benefits in kind including the P11d and PAYE settlement submissions to HMRC
Investigating and resolving payroll, pension and benefit related queries from staff in an efficient and timely manner
Responding promptly, efficiently and accurately to payroll related correspondence from outside bodies such as HMRC, CSA, and other authorities
Ensuring an up-to-date knowledge of payroll and associated statutory legislation and procedures is maintained including minimum wage, apprenticeships, SSP, SMP and other pay related legislation and advising of any appropriate action to the Heads of Finance and HR
Play a key part in the short term with the implementation of a new HR and payroll system
Suggesting and implementing payroll process improvements in line with sector best practice
Payroll Reporting:
Preparing monthly payroll variance reports and explanations and completing monthly and year end reconciliations
Assisting in maintaining monthly and year end staff headcount data
Reporting and analysing payroll data to assist with budgeting and forecasting
Assisting with providing data for benchmarking, National Statistics and Gender Pay Gap reporting
Pensions:
Administering the pension schemes for academic and bursarial staff, managing starters and leavers
Uploading pension contribution information to pension providers and resolving queries on a timely basis
Ensuring compliance with auto enrolment pension legislation
Other:
Preparing year-end reports for the Head of Finance and external auditors
Maintaining up to date procedure notes of the payroll processes
Supporting project work when required
Being aware of and complying with data protection legislation
Playing an active part in the work of the Finance Department, supporting other functions and departments as requested.
Person Specification
Essential
Experience in processing a large and complex monthly in-house payroll end to end
Ability to work with highly confidential information and maintain a high degree of discretion and confidentiality at all times
Ability to effectively communicate; liaising with employees, colleagues, management and external services with a high degree of professionalism
Able to work under pressure and meet deadlines, prioritising workload and working efficiently and effectively
Have a high level of accuracy and attention to detail
Have excellent numeracy skills and the ability to manage complex payroll calculations
Have excellent IT and system skills, particularly in Excel
Knowledge of in-house payroll software systems
Knowledge of employment law and HMRC regulations and be committed to keeping up to date with new legislation
Desirable
Completed or studying for a recognised payroll qualification such as CIPP
Experience of working within an independent school, or education sector and familiarity with term time hours
