Role Purpose
Payroll and systems administration is a critical function underpinning the Company's commitment to operational excellence and robust compliance. The Payroll & Systems Administrator will be entrusted with ensuring the timely, accurate, and secure processing of all payrolls, statutory deductions, and reporting requirements for both internal teams and external stakeholders. This role will drive the continuous improvement of payroll operations, data integrity, and legislative adherence, playing an essential part in sustaining the trust and satisfaction of our workforce.
It is expected that the Payroll & Systems Administrator will serve as a knowledgeable and visible point of contact for all payroll-related matters within the Company. Responsibilities will include liaising with new starters and leavers, supporting audits, and delivering clear guidance on payroll policies and statutory obligations. By proactively refining payroll processes and championing best practices in data management and compliance, the Payroll & Systems Administrator will contribute significantly to the operational resilience and reputation of Triton Risk Management.
Key Responsibilities

Payroll Operations & Compliance
Process weekly and monthly payrolls using Sage Payroll, ensuring accuracy and timeliness.
Calculate and apply statutory deductions including PAYE, National Insurance, pensions, and student loans.
Administer statutory payments such as SSP, SMP, and SPP in line with UK legislation.
Manage new starter setups and leaver processing, including P45/P60 generation.
Submit Real Time Information (RTI) reports to HMRC (FPS/EPS) and ensure compliance with deadlines.
Maintain audit-ready records and support internal and external payroll audits.
Ensure compliance with GDPR and data protection standards in handling payroll data.
Monitor legislative changes and apply updates to payroll processes and system configurations.
Systems Administration & Reporting
Maintain and update employee records and pay elements within Sage Payroll.
Generate payroll reports for finance, HR, and management, including gross-to-net summaries and departmental breakdowns.
Reconcile payroll outputs with financial ledgers and investigate discrepancies.
Implement Sage software updates and patches, ensuring system accuracy and continuity.
Manage data imports and exports between Sage and integrated systems (e.g. HRIS, timekeeping).
Perform regular backups and support disaster recovery protocols for payroll data.
Technical System Oversight
Ensure accurate transfer of timesheet data from Nomos into Sage for payroll processing.
Support invoicing workflows and ensure alignment with payroll outputs.
Maintain system integrity and coordinate with internal stakeholders for updates or improvements.
Stakeholder Support & Communication
Act as the primary contact for payroll-related queries from employees and managers.
Liaise with HR to ensure accurate and timely updates to employee data and pay changes.
Work with finance to support payroll funding, reporting, and reconciliation activities.
Provide clear, professional communication regarding payroll policies, calculations, and adjustments.
Uphold confidentiality and ethical standards in all payroll-related interactions.
N.B. - any such tasks or duties as directed by the Head of People that are reasonable, pertinent and within the skill set of the Payroll & Systems Administrator.
